Job Summary
The Supervisor is responsible for the daily supervision and coordination of mailroom operations, ensuring that all mail production, processing, security, and distribution activities are completed accurately, safely, and within established guidelines and time frames.
The Mailroom Supervisor provides direct oversight, training, and support to Mail Clerks and other assigned staff; coordinates workflow and assignments; monitors productivity and quality; ensures compliance with applicable contract requirements and NW Works policies and procedures; and serves as the primary point of contact for mailroom operations. This position is also responsible for performing mailroom duties as needed to maintain workflow, meet customer requirements, and provide coverage during staffing shortages or periods of increased workload.
Supervisoryand Operational Responsibilities:
- Supervise, assign, and coordinate the daily work activities of Mail Clerks and other assigned staff.
- Monitor workflow, productivity, quality, and staffing levels to ensure timely and accurate mailroom operations.
- Provide training, coaching, and performance feedback to mailroom staff and assist in evaluating employee performance.
- Ensure compliance with contract requirements, security protocols, safety procedures, and NW Works policies and procedures.
- Serve as the primary point of contact for mailroom operations and respond to customer inquiries, concerns, and service requests.
- Maintain operational records, production reports, mail logs, and other required documentation.
- Coordinate work schedules, break coverage, and task assignments to ensure continuous mailroom operations.
- Identify operational issues and implement corrective actions to improve efficiency, quality, and customer service.
- Promote a safe, respectful, and productive work environment.
- Accept mail and packages from carriers and ensure proper receipt, logging, labeling, and distribution.
- Oversee and perform security inspections of mail and packages in accordance with contract requirements.
- Operate x-ray scanning equipment and ensure all mail and packages are processed in accordance with security procedures when required.
- Research and resolve issues involving improperly addressed, coded, or undeliverable mail.
- Deliver interoffice mail and coordinate the collection of outgoing mail from designated mail stops.
- Process machinable mail, including folding, inserting, sealing, metering, and sorting, as needed.
- Handle accountable mail and maintain required chain-of-custody documentation.
- Open, review, and route mail as authorized and required by contract or customer requirements.
- Process publication requests and other specialized mail functions assigned.
- Follow established HAZMAT procedures for handling suspicious or potentially hazardous mail.
- Participate in meetings, training sessions, workshops, committees, and other organizational activities as required.
- Maintain accurate timekeeping and operational records and submit required documentation within established deadlines.
- Ensure work areas are maintained in a clean, organized, and professional manner.
- Arrive at work on time and prepared to perform assigned duties.
- Represent NW Works in a professional manner, including appropriate dress, grooming, and conduct.
