Overview
Senior Practice Assistant role at K&L Gates (Charleston office). The Senior Practice Assistant will support a group of Corporate lawyers, working directly with multiple partners and senior associates to manage lawyers' practices and complete complex administrative tasks.
Responsibilities- Creating, editing, and proofreading correspondence and practice area-specific legal documents, generating document comparison reports, document and binder assembly, mailings
- Creating and editing charts and spreadsheets containing basic formulas
- Creating and editing PowerPoint presentations
- Responding to general client inquiries (billable or non-billable) and meeting client requests and expectations in a timely and consistent manner (e.g., document revisions, scanning records to PDF, applying naming conventions to files, photocopying)
- Preparing and coordinating court and other legal filings (physical and ECF)
- Providing trial and hearing support
- Assisting with the new business intake process (submitting conflict checks, drafting file opening requests, drafting engagement letters)
- Maintaining an organized system for electronic files, including scanning files and ensuring proper save to the Firm’s document management system
- Maintaining an organized system for physical files (intake, retention, retrieval, transfer of records)
- Coordinating, entering, and editing daily time recording for timekeepers
- Preparing monthly client invoices (reviewing bill narratives, applying billing details, forwarding for review, and transmitting to clients)
- Understanding and drafting alternative fee arrangements
- Working with lawyers to produce client and matter budgets, track payments, and assist with collections
- Preparing and submitting expense reimbursement reports
- Coding and submitting vendor invoices for payment
- Utilizing Firm resources (library, Internet, etc.) to perform research
- Providing administrative support such as Continuing Legal Education tracking and attorney licensing renewals
- Coordinating travel arrangements and approvals for domestic and international travel
- Answering and placing telephone calls, maintaining calendars and client contact lists, scheduling meetings
- Assisting with training and orientation for new or less experienced staff
- Providing overflow support and assisting other Practice Assistants and Senior Practice Assistants; supporting client services functions and events
- Providing occasional marketing and business development support
- Performing other relevant administrative duties as directed to assist with practice development initiatives

- Previous experience in a similar role within a medium to large law or professional services firm; experience working for multiple timekeepers is a plus
- Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)

- Document templates and processing systems (e.g., Forte, Litera Compare)
- Expense reimbursement and vendor invoice systems (e.g., Concur, Basware)
- Billing applications (e.g., Intapp Time, Paperless Proforma, Elite Enterprise, 3E)
- File management systems (e.g., File Trail)
- PDF editors (e.g., Adobe Acrobat Pro)
- Other business process applications (e.g., Metastorm, Docu Sign, eFax, PS Ship)
- Typing speed 65 WPM or higher
- Occasional overtime may be required
- Office setting; routine computer use; may require lifting and bending
Salary $65,000 - $109,000. The compensation salary will be determined during the interview process and will vary based on factors including experience, expertise, business needs, and market factors.
