Job Description Summary
The Grants Manager for The College of Dental Medicine reports directly to the Associate Dean for Research and plays a critical leadership role in the financial and research operations of the college. The Grants Manager is responsible for overseeing all administrative, business and grants management functions for the College of Dental Medicine. This role directs and manages fiscal and administrative operations and activities related to grants and contracts management, provides guidance to principal investigators regarding contract requirements, provisions of contractual report and financial and agency requirements.
They are responsible for reviewing and approving contract proposals for fund allocation and compatibility with agency and/or institution objectives and reviewing current and pending legislative changes to stay current on federal research and compliance requirements. They also manage other Grant Administrator(s) I/Coordinator(s) who review grants and provide guidance to Principal Investigators. In addition, the Grants Director supports Human Resources functions related to grant-funded positions and collaborates with leadership to ensure efficient research and operational workflows across departments.

25% Business Management: Manages the operations of the research business office, including the design, implementation, and oversight of budget management systems for both pre-award and post-award grant and contract activities, as well as funding applications. Serves as the College's Grants Business Manager, representing the institution in meetings and communications with Grants and Contracts Accounting, the Office of Research & Sponsored Programs, the MUSC Foundation, and other administrative units.
Responds to internal requests for financial data and reporting as needed.
25% Grants Management: Provides oversight of the pre and post award sponsored research resources of the college. Signs off on Cayuse routing for Principal Investigators. Certifies effort reporting and distributes to PIs quarterly. Manages costing allocations for employees and faculty, specifically related to allocations paid by grants. Manages the annual budget for CDM restricted and research-related unrestricted revenues and expenditures. Responsibilities include fiscal year budgeting at the account level for personnel and operating expenses across all research activities, along with accurate data entry into Adaptive, MUSC’s budgeting platform.
Develops prior-year fund requests for research-related projects and monitors approved reserve usage throughout the year. Serves as the subject matter expert for research budget data included in the annual budget submission.
15% Budget: Ensures compliance with budgetary guidelines set by granting agencies and provides guidance to faculty on fiscal regulations and the appropriateness of budget requests.. Coordinates the development and submission of grant and contract proposals to federal, state, and corporate entities. Advises faculty on potential grants management challenges, recommends solutions, and follows through to ensure successful resolution. Demonstrates a strong working knowledge of applicable federal and state regulations.
10% Personnel Management: Supervises Grants Administrator to include hiring, performance evaluation, promotion, termination, and retention activities. Tracks and properly documents performance issues and coordinates orientation and training. Monitors the need for additional staffing and training related to the operation of CDM Research and Grant Development. Conducts meetings on a regular basis to discuss issues and ideas for improvement as well as expectations;
provides an agenda, distributes meeting minutes afterwards, and follows up on any items in a timely manner. Actively supports staff development, encourages ideas and acknowledges staff opinions through communication and engagement initiatives.
10% Reporting: Provides executive level leadership with quarterly and annual reports detailing current funding and projected financials for CDM grants and contracts. In partnership with the CDM Business Manager, prepares monthly budget-to-actual reports for research-related unrestricted projects and units, providing variance analysis and explanations. Ensures timely distribution of quarterly Principal Investigator (PI) reports for restricted funding. Maintains and updates research funding projections throughout the fiscal year and leads in‑year forecasting for both restricted and research‑related unrestricted funds, in alignment with Budget Office requirements.
