Position SummaryThe Executive Assistant to the CEO provides high-level administrative support, ensuring the CEO’s office runs efficiently while advancing the mission and strategic priorities of YWCA Charleston. This role requires discretion, excellent organizational skills, and the ability to represent YWCA Charleston with professionalism and warmth.
Essential Functions- Manage the CEO’s calendar, meetings, and travel, prioritizing commitments aligned with organizational goals.
- Prepare materials for board meetings, staff meetings, and community presentations.
- Serve as a liaison between the CEO, staff, board members, and community partners.
- Draft correspondence, reports, and presentations with clarity and accuracy.
- Coordinate special projects and initiatives in support of the CEO and organizational priorities.
- Support event planning and logistics for internal and external engagements.
- Track deadlines, action items, and follow-ups to ensure timely completion of tasks.
- Maintain confidentiality and discretion with sensitive information.
- Bachelor’s degree in Business Administration, Communications, Nonprofit Management, or a related field, or an equivalent combination of relevant professional or lived experience.
- Three (3) or more years of executive-level administrative experience, preferably in a nonprofit or mission-driven organization.
- Experience working with diverse and historically marginalized communities.
- Strong interpersonal, written, and verbal communication skills, including relationship-building and executive correspondence.
- Experience managing calendars, scheduling, and coordinating meetings or events.
- Proficiency with digital communications, office software (Microsoft Office, Google Workspace), and database/CRM systems.
- Strong organizational skills and ability to manage multiple priorities.
- Creative problem-solving, adaptability, and a mission-driven mindset.
- Ability to lift up to 25 pounds occasionally.
- Both office-based work with weekly off‑site meetings or events.
- Evening and weekend work may be required.
- Local travel within the service area is an essential function of the role; ability to travel independently, with or without reasonable accommodation, is required.
- Successful completion of a background check with results meeting the standards required for this position.
- Authorization to work in the United States.
