Overview

The concierge/receptionist performs a variety of administrative support duties including welcoming visitors to the community, answering the telephone, transferring calls to the appropriate party, and taking accurate messages. Monitors security systems and maintains various logs, providing general administrative support as needed.

Responsibilities
  • Greet all visitors to the community and maintain a courteous, friendly, and helpful demeanor.
  • Answer phones, transfer calls to the appropriate party, and take accurate messages.
  • Monitor walkie-talkie, door security system, and fire panel as needed.
  • Monitor resident sign-in/sign-out logs and the visitor registration log; complete administrative support functions such as filing and making copies.
  • Process service request forms for residents and/or staff and log as required.
  • Keep the front desk and lobby area clean and neat at all times.
  • Sell meal tickets and account for them by payroll deduction or personal check.
  • Ensure the security of the building; periodically check entrances/exits to maintain community security.
  • Attend in-services and staff meetings as required.
  • Assist with coordinating van schedules for residents.
  • Follow confidentiality policies regarding release of resident information.
  • Perform supportive office functions for all departments including filing, typing, and copying.
  • Complete all other duties as assigned.
Qualifications
  • High school diploma or GED.
  • Professional appearance; neat, well-groomed; capable of dressing in a professional manner.
  • Experience in administrative functions.
  • Polite and professional communication by phone and in writing; able to communicate effectively.
  • Strong organizational skills; able to multi-task in a busy environment; work well in a team.
  • Polite and considerate to residents, visitors, co-workers, and management.
  • Ability to sit for extended periods and to work in a fast-paced environment.
  • Flexible schedule including weekends and holidays; attendance at required in-services and staff meetings.
