Adecco Staffing is partnering with a local health facility in Charlestown, RI assisting in the search of an Office Support Assistant. This is a 1st shift role 8:30AM-4:30PM Mon-Fri and the pay rate will be dependent on skills and experience.
Position SummaryThe Office Support Assistant (OSA) provides day-to-day administrative and clerical support to ensure efficient operations within the office. This role requires strong organizational skills, professionalism, confidentiality, customer service, and the ability to manage multiple priorities in a fast-paced healthcare environment.
Key Responsibilities- Provide administrative and clerical support for departments and programs.
- Answer phones, greet visitors, route inquiries, and provide exceptional customer service.
- Organize, maintain, and retrieve confidential files, records, and administrative documents.
- Process incoming and outgoing mail, correspondence, and bulk mailings.
- Coordinate travel arrangements, schedules, meetings, and related documentation.
- Order, receive, store, and distribute office supplies while maintaining inventory records.
- Assist with accounts payable, invoice processing, expense reports, and financial tracking.
- Create and maintain spreadsheets, databases, reports, and administrative records.
- Support facility maintenance coordination, work-order tracking, and vendor scheduling.
- Assist with recruitment, onboarding, interview scheduling, and employee documentation.
- Prepare reports, support special projects, and assist leadership with administrative initiatives.
- Ensure compliance with confidentiality, HIPAA, and organizational policies.
- High School Diploma or GED required.
- Associate degree, office administration certification, or related education preferred.
- Minimum of 2 years of administrative, clerical, or office support experience required.
- Healthcare, medical office, or community health experience strongly preferred.
- Experience with customer service, healthcare billing, accounts payable, or Quick Books preferred.
- Proficiency with Microsoft Office/Microsoft 365 (Word, Excel, Outlook, PowerPoint).
- Strong organizational, multitasking, and time-management skills.
- Effective written and verbal communication abilities.
- Knowledge of office procedures, records management, scheduling, and document preparation.
- Ability to maintain strict confidentiality and comply with HIPAA requirements.
- Strong attention to detail, professionalism, and customer service orientation.
- Ability to work independently and collaboratively while managing multiple priorities.
- Valid driver's license and acceptable driving record.
- CPR certification or ability to obtain within required timeframe.
- Successful completion of background investigation, fingerprinting, and drug screening.
- Ability to travel as needed and occasionally work evenings or weekends.
