The administrative assistant is responsible for the accurate and timely completion of all callouts for patients of homecare services, maintaining schedule changes, and notifying families of any changes. In addition, this position is a supportive role to the Director and will be required to assist with departmental payroll including reconciliation, approving schedules, reviewing PDO requests, changes to the schedule as well as other duties associated with departmental payroll processing.
Will also assist with invoicing and Long-Term Care filing.
- Accurately staffs for call outs or weekend coverage.
- Updates schedules with any changes (call offs, no shows, etc.) and notifies appropriate family and staff of changes.
- Works with the Nurse Managers and other staff members efficiently.
- Handles all scheduling conflicts/issues and directs to the appropriate person if unable to resolve.
- Participates in on call rotation as needed.
- Performs other specific projects relating to scheduling and staffing as required. Will assist with invoicing and long term care filing.
- Updates for Home Care e-files and physical files, filling and other office tasks as needed.
- Works collaboratively with staff to effectively reconcile staff payroll. PDO requests, schedule changes, timesheet edits etc.
- Other duties as assigned by supervisor.

Education required: High School Graduate, Active North Carolina CNA Certificate. Certified as a Med Aide in both Adult Care Homes and Skilled Nursing in North Carolina or be willing to obtain the necessary certification within 6 months of hire.
Experience required: One (1) year verifiable work experience, preferably in a related capacity.
Professional license or certification requirements: NC Certified Nursing Assistant and NC Certified Med Aide for Adult Care Homes and Skilled Nursing Facilities.
Specific skills, knowledge and abilities required:
- Ability to read, write and effectively communicate in English.
- Proficient in Microsoft office suite including Word, Excel, Power point and Outlook.
- Ability to work independently.
- Demonstrated record of strong interpersonal skills as well as working as a member of team.
