Position Overview:

The Inspections Compliance and Contracts Administrator supports the Inspections Department by submitting inspection and service reports to third-party Authority Having Jurisdiction (AHJ) portals, maintaining customer and AHJ information, entering contract data, and assisting with inspections billing. This hourly position reports to the Inspections Administration Manager.

Duties & Responsibilities:
  • Review inspection reports associated with service tickets for all inspection contract types and submit them to the appropriate third-party AHJ portals.

  • Add and update current and new customer information in Fire Marshal Maintenance and keep AHJ requirements current.

  • Enter corrected discrepancies into the appropriate AHJ portals to complete reports.

  • Assist with inspections billing and special projects supporting the Inspections Team and new acquisitions.

  • Review Salesforce approvals and enter contract data.

  • Handle each transaction in a manner that positively promotes the Company’s reputation.

  • Complete continuing education necessary to maintain certifications and/or licenses required for the position.

  • Use sound judgment and follow all Company safety policies and work procedures, including exercising the authority to stop unsafe acts.

  • Perform other related duties as required.

Qualifications:
  • High school diploma or equivalent required; advanced education preferred.

  • Five or more years of office or management experience, or an equivalent combination of education and experience.

  • Salesforce experience preferred.

  • Excellent written and verbal communication skills, including the ability to speak, read, and write English fluently.

  • Strong customer service skills and the ability to interact professionally with individuals at all levels, internally and externally.

  • Strong organizational skills and attention to detail.

  • Ability to work independently, take initiative, and contribute to a team environment.

  • Ability to manage multiple projects, identify priorities, and set and meet deadlines.

  • Ability to adapt to change, resolve conflicts, and solve problems with minimal direction.

  • Excellent computer skills, including proficiency with Microsoft Office Professional programs and applicable database programs.

  • Willingness and ability to complete occasional regional travel and periodic overnight travel as required.

Additional Requirements:
  • Maintain compliance with the Company’s Controlled Substances and Alcohol Standards.

  • Ability to sit for extended periods.

  • Ability to use a telephone, computer, and other office equipment.
