Zachry Engineering is seeking a Junior Administrative Assistant to support our growing Charlotte engineering office. This entry-level role will provide administrative and operational support to engineering, project management, and office leadership teams.
The ideal candidate is organized, detail-oriented, customer-service focused, and enjoys working in a team environment. This position offers an excellent opportunity to learn the engineering consulting business while building valuable administrative and project support skills.
ResponsibilitiesProvide administrative support to engineering and project teams
- Schedule meetings, coordinate conference rooms, and assist with visitor management
- Prepare, format, proofread, and distribute project documentation, reports, and correspondence
- Assist with maintaining project files and document control processes
- Support onboarding activities for new employees and contractors
- Coordinate office supplies, equipment, and general office needs
- Assist with travel arrangements, expense reports, and meeting logistics
- Support project managers with data entry, document tracking, and routine administrative tasks
- Maintain accurate records and ensure confidential information is handled appropriately
- Provide exceptional customer service to employees, clients, and visitors
Required Skills
- High school diploma or GED required;
Associate's degree preferred - 0-2 years of administrative, office support, customer service, or related experience
- Strong organizational and time management skills
- Excellent written and verbal communication abilities
- High attention to detail and accuracy
- Ability to prioritize multiple tasks in a fast-paced environment
- Proficiency with Microsoft Office Suite, including Outlook, Excel, Word, and Power Point
- Professional, positive, and team-oriented attitude
- Ability to maintain confidentiality and handle sensitive information
Preferred Skills
- Experience supporting engineering, construction, consulting, or project-based organizations
- Experience with document management systems or project databases
- Familiarity with scheduling meetings for large teams
- Exposure to onboarding, event coordination, or office administration activities
- Associate's or Bachelor's degree in Business Administration or related field
