The Operations Coordinator will provide support to the Senior Site and/or Assistant Facility Managers with operational activities in maintenance and operations, accounting and finance, vendor oversight, equipment and supplies, occupancy services and proactively develop and maintain client relationships ensuring that expected service levels are achieved. This position offers an excellent opportunity to contribute to JLL's operational excellence while developing professional skills in facilities management within a dynamic retail/office environment.
Act as a single point of contact for a client retail/office site or group of sites
Conduct daily walkthroughs to ensure clean and organized office environments
Respond to all work orders in a timely manner, ensuring KPI compliance and excellent customer service
Schedule and manage repairs and maintenance, minor works and other work requests, tracking to completion
Complete room setup and take down of furniture and audio/visual equipment for meetings, training, and special events
Manage mailroom operations including mail and courier services, ensuring efficient processing and distribution
Provide reception and guest support, office supplies and equipment maintenance, landlord relations and management of building access passes
Coordinate logistics and warehouse support management activities
Maintain and propose emergency response plans including evacuation and implementation of after-hours emergency response
1 to 3 years of experience in facilities, property management, hospitality, logistics, warehouse support management or related field
Strong mailroom operations experience
Excellent communication, organization and problem solving skills
Ability to work independently with little supervision and effectively deal with stressful situations
Proficiency in a range of information technology tools and platforms
Self-motivated; confident, energetic and flexible
Knowledge of local occupational health and safety requirements
Understanding of critical facilities and vendor management for specialized services
Basic technical knowledge of property systems (computer room air-conditioning, chiller system, fire protection system, mechanical & electrical system)
Experience with finance and purchasing tasks
Proven ability to deliver exceptional quality of service

Monday to Friday, 8:00 AM to 5:00 PM
