What

is the role?

The Proof of Insurance Manager is responsible for overseeing the issuance of client insurance documents within the US Regional Business Service Center. This role ensures accuracy, timeliness, and compliance in the delivery of Certificates of Insurance (COIs) and Auto , while supervising the work of Proof of Insurance Analysts.
You will be reporting into CJ Moon, our Head of Proof of Insurance.

What will you be doing? Certificates of Insurance (COIs)
  • Oversee the review of COI requests to ensure requirements, delivery methods, and client expectations are accurately assessed and met.
  • Provide direction and oversight on securing carrier endorsements to support accurate COI issuance.
  • Ensure team adherence to compliance and service standards by monitoring the timely and accurate delivery of COIs.
Auto
  • Monitor processing of Auto  requests based on fleet and/or vehicle‑specific needs.
  • Oversee issuance with carriers and ensure proper documentation is maintained.
Renewals
  • Oversee the issuance and delivery of renewal COIs and auto  to clients.
  • Supervise renewals to ensure deadlines are met and documentation is complete.
Compliance and Recordkeeping
  • Oversee the maintenance of accurate records of issued COIs and Auto , ensuring readiness for audit and compliance reviews.
  • Ensure team adherence to regulatory requirements and company policies in all aspects of document issuance.
Collaboration and Service
  • Partner with account management teams to clarify requirements and resolve issues.
  • Communicate with carriers as needed to secure endorsements and verify documentation.
  • Provide mentorship, coaching and feedback to Proof of Insurance Analysts.
  • Assign workloads, monitor productivity and ensure adherence to standards.
  • Organizational

    Skills:

    Skilled in overseeing multiple issuance requests, renewals, and escalations.
  • Communication

    Skills:

    Strong written and verbal communication with clients, account teams, and carriers, particularly in escalated scenarios.
  • Regulatory Knowledge and Compliance Awareness: Strong understanding of carrier and state requirements for certificates of insurance and auto .
  • Technical

    Skills:

    Proficiency with Microsoft Excel and billing/insurance systems (e.g. Epic, AMS
    360, or similar).
  • Problem‑Solving: Skilled at resolving discrepancies in requests or endorsements and escalating issues appropriately.
