The Business Administration Manager is a strategic partner to organizational leadership, providing operational support that allows executives to focus on high-impact work. This role anticipates leadership needs, manages key systems (Airtable, Andar) and calendar coordination, and helps translate organizational priorities into smooth daily operations.
This position requires both strategic thinking and hands-on execution. The Business Administration Manager looks ahead to streamline workflows, maintain systems that support decision-making, coordinate schedules across the leadership team, and serve as a trusted thought partner on organizational initiatives. Success in this role means understanding the bigger picture while managing the details that keep leadership running effectively.
Responsibilities- Manage and plan for three executive calendars
- Anticipate executive needs and proactively provide operational support
- Prepare briefing materials, reports, and presentations for executive leadership as needed
- Coordinate cross-departmental initiatives and ensure organizational alignment
- Manage special projects from conception to completion on behalf of leadership
- Serve as trusted partner on confidential and sensitive organizational matters
- Develop and optimize systems and procedures to improve workflow efficiency across administrative functions
- Manage administrative budgets and resource allocation, ensuring cost-effectiveness and strategic alignment
- Identify opportunities for operational improvement and lead process optimization initiatives
Education, Experience, and Skills
- Bachelor's degree in business administration, management, information systems, or related field preferred
- 5-7 years of experience in business operations, executive support, or administrative management
- Strong analytical and problem-solving skills with attention to detail and accuracy
- Excellent project management abilities with capacity to manage multiple concurrent priorities
- Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)
- Experience with database management systems such as Airtable, Salesforce, or similar platforms preferred
- Exceptional written and verbal communication skills with ability to interact at all organizational levels
- Ability to maintain confidentiality and exercise sound judgment on sensitive matters
- Experience in nonprofit sector preferred but not required
