Life Science Project Executive – F&B Market

Gray Construction is looking for a Life Science Project Executive to join their F&B Market in any of our offices, or remote+travel.

Key Responsibilities

Responsible for the overall management of one large $200MM+ project or an individual project with a high level of complexity or multiple construction projects.

Key responsibilities include:

PROJECT ADMINISTRATION
  • Facilitates Customer and Team’s meetings and ensures that detailed meeting minutes and action items registers are updated and promptly distributed.
  • Ensures that all “project start‑up meetings" are held when required and with the appropriate team members.
  • Ensures the project action items are tracked and completed to support the project requirements.
  • Ensures that project staff completes submittal reviews, status reports, closeout documents, and maintenance manuals promptly.
  • Visits project sites regularly.
FINANCIAL SUCCESS
  • Monitors progress identifying issues early during budget/cost reviews, develops corrective actions, and provides reports to senior leadership.
  • Operates within budgetary limitations and requirements.
  • Develops proposals and execution strategy specific to each project, obtaining buy‑in from all stakeholders.
  • Monitors purchasing of all required materials, subcontracts, equipment, and services, ensuring optimal savings.
  • Ensures change orders are issued according to work procedures.
  • Ensures red files are completed accurately and reviewed monthly with the Site Manager.
SCHEDULE PERFORMANCE
  • Oversees development and maintenance of the master schedule.
  • Collaborates with Field Operations Managers, A/E Services, and MEP Services to assess schedule progress and develop corrective measures.
  • Documents and communicates any delays, producing necessary extensions and justifications.
RISK MANAGEMENT
  • Ensures understanding of contractual terms and conditions.
  • Ensures goals for safety, quality, scheduling, training, and profitability are met.
  • Develops the project risk management plan and assigns responsibilities.
  • Assesses the effectiveness of plans and develops changes with stakeholders.
  • Provides oversight and assists teams in risk mitigation.
  • Communicates a consistent approach to problem‑solving.
RELATIONSHIP MANAGEMENT
  • Acts as primary customer contact and account manager, serving as a transition before escalation.
  • Develops relationship management plans for customers, subcontractors, and consultants.
  • Collaborates with managers to adjust plans and implement corrective actions.
  • Exhibits leadership aligning with Gray Core Values.
  • Ensures continuity of workflow during staff changes.
TEAM MEMBER DEVELOPMENT
  • Supports staff alignment with company values.
  • Monitors team cohesion and develops corrective action plans.
  • Mentors and trains project managers at all levels.
COLLABORATION
  • Maintains a cooperative work environment among engineering, design, and construction teams.
  • Communicates regularly with senior leadership.
ADMINISTRATIVE AUTHORITY

The Responsible Director, Regional Manager, or Vice President has authority to execute subcontract agreements, release early payments, accept insurance deviations, and execute customer change orders.
