Assistant Director for Donor Relations, Fralin

Join the University of Virginia’s External Relations team as an Assistant Director for Donor Relations at the Fralin Museum of Art. This role supports the upcoming Center for the Arts campaign and works closely with the Director of Development.

Position Summary

The Assistant Director will manage donor acknowledgment and recognition programs, create content for publications, and prepare communications on behalf of The Fralin. Responsibilities include writing donor correspondence, producing newsletters, reporting, and supporting stewardship strategies for major benefactors and endowment stewardship processes.

Responsibilities
  • Draft, edit, and finalize written materials for donor communications, newsletters, reports, and other advancement assets.
  • Prepare briefing materials, agendas, and talking points for meetings with donors, UVA leadership, and key stakeholders.
  • Design and implement customized stewardship and financial reporting processes for selected current‑use donors and program participants.
  • Develop individualized stewardship strategies and recognition experiences for major benefactors, including tailored events and engagement opportunities.
  • Coordinate endowment stewardship activities, working with central advancement and Fralin staff to produce customized endowment reports.
  • Manage logistics and timelines for stewardship deliverables to ensure timely, accurate, personalized donor communications.
  • Track and evaluate stewardship efforts to identify opportunities for improved donor engagement and reporting.
  • Utilize CRM and other University databases to maintain donor and fund records.
  • Utilize membership software for constituent management and engagement.
  • Monitor and analyze donor, member, and student data with meticulous detail.
  • Manage lists and segmentation strategy for outreach to donors and members.
  • Manage production of printed materials, including list building, mail merges, proofing and printing, mailing, and tracking, coordinating with marketing staff.
  • Execute sophisticated events at the museum, on Grounds, and in the community, to recognize, educate, and steward donors and prospects.
  • Assist with events managed by the Events Experience team; attend in‑person and virtual meetings and events.
  • Manage member and donor acknowledgment processes, including writing thank‑you letters, pulling gift reports, determining methods of acknowledgment, and executing delivery.
  • Assist with membership and annual giving program management, including overseeing related marketing and communications, event planning, and benefit fulfillment.
  • Initiate stewardship visits for new membership and annual fund gifts.
  • Participate in the review of stewardship policies and procedures, identifying opportunities for increased efficiency and innovation.
  • Coordinate with museum finance, central gift processing, and accounting, and the Senior VP for Advancement’s office on gift receipt, tracking, proposals, and agreements.
  • Manage travel events for the Director and advancement team, identifying key markets and managing logistics.
  • Maintain accurate and efficient tracking of activities in the donor database, including event data and contact reports.
  • Collaborate with colleagues across Grounds to ensure best practices and foster a sense of community.
  • Act as the point of contact for Development intern schedules and assist with project management.
  • Other responsibilities may include filing reimbursements, reconciling travel and expense card statements, scheduling donor visits, and other clerical tasks.
  • Other duties as assigned.
Minimum Qualifications
  • Bachelor’s degree.
  • At least three years of related work experience.
  • Must be available for occasional evening and weekend events.
Preferred Qualifications
  • Experience in higher education advancement.
  • Exceptional attention to detail, organization, and communication.
  • Proven proficiency in written and verbal communication.
  • Solid foundation in art and art history with understanding of the contemporary art world.
  • Demonstrated ability to assess and prioritize tasks effectively.
