Job Description & How to Apply Below
Help keep one of UVA Health's largest and most complex clinical departments organized, connected, and moving forward. As an Administrative Specialist in Radiology and Medical Imaging, you will serve as a trusted partner to operational leadership while coordinating priorities that support imaging services, medical equipment oversight, and effective department operations.
This is an opportunity for an experienced administrative professional who enjoys bringing structure to a fast-moving environment. You will support the Associate Chief of Medical Imaging and dedicate approximately half of your time to the Physics team, working across Radiology and other departments to manage schedules, information, equipment inspections, capital assets, and critical administrative activities.
** The Role*
* Radiology and Medical Imaging includes more than 400 employees across approximately 22 to 23 cost centers and divisions. In this highly visible role, you will interact with leaders, supervisors, physicists, equipment contacts, and operational stakeholders throughout the organization.
Your work will extend well beyond traditional clerical support. You will be central to organizing complex information, coordinating across teams, and keeping important operational activities on target.
In an average day, you may:
+ Manage the Associate Chief of Medical Imaging's calendar and coordinate meetings involving multiple leaders and competing schedules.
+ Use Microsoft scheduling and productivity tools to identify availability and organize meetings efficiently.
+ Provide administrative and coordination support to the Associate Chief and the Manager of Physics.
+ Develop and maintain detailed Excel spreadsheets that allow equipment and capital-asset information to be reviewed by division, imaging modality, and other relevant categories.
+ Prepare professional presentations, schedules, correspondence, and operational documents.
+ Submit capital requests through established systems and assist leadership with capital-planning activities.
+ Coordinate annual inspections of radiation-producing, sonography, and MRI equipment.
+ Communicate with equipment contacts across Radiology, Heart and Vascular, and other areas that operate imaging equipment.
+ Track inspection schedules, follow up with stakeholders, and help ensure required activities remain on schedule.
+ Receive state certifications and distribute documentation to the appropriate teams.
+ Manage several priorities while maintaining accuracy, responsiveness, and strong professional relationships.
Success in this position requires at least three years of relevant administrative, office, coordination, or management-related experience, along with strong organizational judgment and the ability to work effectively with a wide range of stakeholders. Advanced proficiency with Microsoft Excel, PowerPoint, Outlook, calendar management, document preparation, and complex scheduling will be especially valuable.
Experience with EPRO, Anaplan, or comparable enterprise systems is preferred.
The position is fully on-site in Charlottesville, Virginia, with a typical Monday through Friday schedule of approximately 8:00 a.m. to 4:30 p.m. Remote work is not available.
