Operations Coordinator – Boar's Head Sports Club

In this supervisory role, you ensure the front desk, tennis courts, and grounds at The Sports Club operate to Forbes Travel Guide, AAA 4 Diamond Service, and Forbes Four Star standards, delivering exemplary experiences to members, guests, and resort occupants.

Job Overview

This role includes overseeing reservations, sales, inventory, and security at the front desk; communicating with all departments; and ensuring smooth, guest‑focused operations.

Essential Job Functions
  • Meet and greet all members/guests appropriately and according to Forbes Travel Guide Standards and the AAA 4 Diamond Service Expectations; answer questions and resolve queries independently.
  • Answer all incoming calls within three rings and direct calls to the appropriate department.
  • Oversee lost and found, locker rentals, departmental registrations, and other member services.
  • Maintain and supply materials required in the Front Desk area under the Operations Manager’s guidance (e.g., sign‑in sheets, brochures).
  • Ensure proper execution of Club opening and closing procedures.
  • Monitor member/guest activity in the Pro Shop, offer assistance, restock, recover daily, and assist with quarterly retail inventory.
  • Manage activity reservations and complete resort guest billing for services and fees.
  • Conduct daily inspections of Front Desk areas, lobby spaces, courts, and surrounding grounds to ensure cleanliness and order.
  • Report deficiencies from walk‑throughs or reports by members, guests, or team members to Engineering and IT via the operating platform.
  • Communicate with Housekeeping and Court Maintenance Supervisors and assist with operations as needed.
  • Communicate with Fitness & Aquatics Managers and assist with seasonal cleaning and operations as needed.
  • Demonstrate hands‑on leadership, training, guidance, and mentorship for team members.
  • Cross‑train in Front Desk, Housekeeping, Court Maintenance, and Aquatics operations.
  • Maintain CPR certification and implement emergency procedures when needed.
  • Maintain knowledge of all Sports Club programs, member events, and resort special events.
  • Hold team members accountable for all guest/member‑facing standards and operational procedures.
  • Ensure adherence by all team members to Forbes Four Star standards and Boar's Head policies as defined in the handbook.
  • Contribute to overall resort team effort by completing additional duties as assigned.
Requirements Essential
  • Undergraduate degree or demonstrated career experience.
  • Exceptional customer service skills with prior experience.
  • Upbeat, energetic attitude and proactive work ethic.
  • Effective interpersonal and communication skills, written and verbal.
  • Ability to multitask with attention to detail.
  • Demonstrated ability to remain calm during stressful situations.
  • Proficiency with computer software for scheduling and billing services and events.
  • Flexible work schedule, including openings/closings, weekends, and holidays.
Safety Responsibilities
