Job Title: Administrative Project Support Assistant
Location: Chattanooga, Tennessee
Type: Contract To Hire
Compensation: $25.00 - $27.00 per hour
Work Model: Onsite – onsite
Hours: Part-time (25-30)
- Support bid and document administration, including maintaining bid calendars, proposal logs, and organizing plans, specifications, and addenda.
- Track tasks by managing owners, due dates, statuses, and follow-up actions to ensure deadlines are met.
- Assist with scheduling by updating crew schedules, delivery dates, and equipment reservations, and flag conflicts or issues.
- Collect and organize field reports, progress photos, manpower and equipment hours, and follow up on missing information from field personnel.
- Maintain shared project records, including field reports, delivery receipts, material issues, and change documentation.
- Prepare paperwork for purchasing and delivery, maintain order and delivery logs, and organize supplier acknowledgments and shipping documents.
- Track project communications, including drawing submissions, RFI requests, approvals, meeting notes, and action items.
- Help document office procedures, protect confidential company, pricing, employee, and client information.
- Strong organizational skills, detail-oriented, able to meet deadlines, and follow through with routine tasks.
- Professional communication skills in email and verbal interactions with staff, suppliers, and field personnel.
- Ability to manage multiple deadlines, ask questions for clarity, and escalat issues appropriately.
- Proficiency in Gmail, Google Calendar, Microsoft Word and Excel, PDF handling, and shared folder organization (Dropbox).
- Ability to accurately create, update, and organize records and logs.
- Helpful and trainable with software platforms such as Building Connected, Click Up, and Bluebeam.
- Construction administration or project support experience is preferred but not required.
