Therole
Working closely with the Signage Programming Manager and Signage Co-ordinator, the successful candidate will support with all programme administration, supplier and delivery tracking, purchase/order records, job packs, shared correspondence, completion evidence, and management information and also be expected to provide efficient, detail-oriented administrative support for our fast-paced operations team to ensure accurate records, and that routine queries, missing information and overdue actions are followed up promptly.
Key Responsibilities:- Log and acknowledge incoming signage requests from shared inboxes, checking details and following up missing information.
- Prepare and organise electronic job packs for installation teams using standard templates and document naming guidelines.
- Administer purchase orders, track supplier acknowledgements, update expected delivery dates and raise potential delays early.
- Monitor Whats App delivery groups across distribution hubs (Head Office, Long Eaton, Paisley) to reconcile stock and inventory records.
- Collect, review, and upload completed job evidence (such as before/after photos and completion reports) into internal systems.
- Maintain accurate programme trackers, action logs, and generate routine reporting on request volumes and job statuses.
- Act as a responsive, professional point of contact for internal teams (Operations, Finance, Legal) and external suppliers, escalating technical or legal queries appropriately.
A proactive, highly organised individual who can manage requests, maintain job trackers, coordinate supplier orders, and ensure seamless delivery from request through to job completion.
Skills & KnowledgeRequired:
- Previous experience in an administrative, coordination, or operational support role.
- Excellent organisational skills with strong attention to detail and data accuracy.
- Proficient with Microsoft Office (Word, Excel, Outlook); experience with ticketing or job management systems (e.g., Fresh service) is desirable.
- Strong written and verbal communication skills with a helpful, professional approach.
- Ability to work independently, manage multiple deadlines, and persist respectfully when following up with suppliers and colleagues.
- Background in parking, signage, facilities management, or procurement administration is desirable.
- £27,000 per annum
