Key Responsibilities Customer Coordination Act as a key point of contact for customers, responding promptly to enquiries and requests. Process and manage customer orders from receipt through to delivery. Provide accurate updates on order status, lead times, deliveries, and any potential delays. Coordinate customer requirements with sales, operations, warehouse, production, and logistics teams. Resolve customer issues and complaints professionally and efficiently.
Maintain accurate customer records and order information. Identify opportunities to improve customer service and strengthen customer relationships. Supplier Coordination Liaise with suppliers to place and monitor purchase orders. Obtain and confirm pricing, availability, lead times, and delivery dates. Follow up outstanding orders and proactively address potential supply issues. Maintain positive and professional supplier relationships. Coordinate supplier deliveries with warehouse and logistics requirements.
Escalate shortages, quality issues, price changes, or delivery problems where appropriate. Maintain accurate supplier records and purchasing information. Administration & Operations Raise and process sales and purchase orders accurately. Monitor stock availability and highlight potential shortages or excess stock. Coordinate deliveries and collections with relevant transport providers. Maintain accurate records within the company's ERP, CRM, or order management systems. Prepare reports and provide updates on customer orders, supplier performance, deliveries, and outstanding actions.
Ensure relevant documentation is complete and filed correctly. Support the wider operations team with general administrative and coordination duties. Key Skills & Experience Previous experience in a customer service, purchasing, supply chain, logistics, or coordination role. Strong communication and interpersonal skills. Excellent organisation and time-management abilities. Ability to manage multiple priorities and deadlines. Strong attention to detail and accuracy. Confident dealing with customers, suppliers, and internal stakeholders.
Good problem-solving and decision-making skills. Competent IT skills, including Microsoft Office and Excel. Experience using an ERP, CRM, or stock/order management system is desirable. Commercial awareness and an understanding of order-to-delivery processes. Ability to work independently while also contributing effectively to a team. Personal Attributes The ideal candidate will be:
