Job Summary
Administration Assistant, Band 2 (25 hours a week)
Under the direction of the Admin Team Leader, you will provide general administrative support to the team of speciality administrators. Good communication with patients, relatives, general practitioners and other hospital staff is essential to ensure a proficient, high-quality service for patients and clinicians. The post-holder will be expected to work as part of the Administrative Support Team and will report to the Community Paediatric Administration Lead.
MainDuties
- General office administration duties including copying and sending out patient correspondence, collecting and delivering notes, sorting incoming post, responding to internal and external queries, and other administrative tasks.
- Work as part of a team, maintain a flexible attitude, and provide cross‑cover during staff absences (to be negotiated after training).

- Undertake training as required and agreed with the Admin Team Leader.
- Perform clerical tasks such as photocopying, sorting post, answering the telephone, and supporting team members.
- Complete typing tasks and add letters to Infoflex as requested by the Admin Lead.
- Use the in‑house patient administration system to check patient information, outpatient appointments, and results.
- Collect urgent notes or requests to relevant departments to minimise delays.
- File letters and reports into patient medical notes within the department or in the Health Records department.
- Prioritise workload appropriately and undertake work requested by the Admin Team Leader.
- Deliver a high standard of customer service and communicate effectively with all levels of staff, multidisciplinary teams, GPs, patients and their relatives.
- Track patient notes electronically in and out of the department/area.
- Promote equality, respect privacy and confidentiality, and act in accordance with trust policy when handling sensitive information.
- Be flexible, adjusting activities and priorities as needed.
- Undertake any other appropriate duties as required by the Admin Lead.
- Cover colleagues during absences, annual/sick leave, and for job rotation as requested by the Admin Lead.
- Contribute to a healthy and safe working environment and adhere to health and safety regulations and trust policies.
- Educated to GCSE grade C or above (or equivalent) in literacy and numeracy.
- IT experience with Microsoft Office packages.
- Knowledge of routine and non‑routine administrative procedures gained through qualification or experience.
- Excellent verbal and written communication skills.
- Ability to work under some pressure.
- Ability to work without direct supervision.
- Experience working as part of a team.
- Experience with general office routine and filing systems.
- Administration experience in a health or social care setting.
- IT capability to ensure proficient use of hospital computer systems.
