Join Christ Our Light Parish, a welcoming and vibrant community living out the values of peace, forgiveness, justice, love, and healing. We are seeking a Parish Administration Officer / Parish Secretary to provide essential administrative and operational support, manage parish records and communications, assist with liturgical services and sacramental programs, and help keep the parish office running smoothly. This is a rewarding role for an organised, proactive professional who wants to make a meaningful contribution to parish life.
KEY RESPONSIBILITIES
- Serve as first point of contact: welcoming visitors, answering phones, emails, and managing enquiries.
- Maintain parish records:
Baptism, Confirmation, Marriage, Deaths, volunteer data, and compliance registers. - Prepare and distribute weekly Parish Bulletins, liturgical materials, and Mass presentations.
- Assist with sacramental programs, including certificate preparation, correspondence, and family support.
- Coordinate volunteer rosters and ensure compliance with WWCC and Police Checks.
- Support financial processes, including donations, banking, and stewardship programs.
- Manage Parish Centre facilities, bookings, supplies, and liaise with service providers.
- Liaise with parish committees, schools, and the Archdiocese of Melbourne as required.
- Perform other duties as directed by the Parish Priest to support parish operations.
WHAT YOU BRING
- Strong interpersonal, communication, and organisational skills.
- High level of accuracy in record-keeping and administration.
- Ability to work independently and maintain confidentiality.
- Proficient in Microsoft Office, email, and website management.
- Understanding of Catholic sacramental practices and parish operations is highly desirable.
- Experience in office administration or parish/faith-based settings is preferred.
REQUIRED
- Valid Working with Children Check
- Current Police Check
- Valid Driver Licence
