CHELTENHAM CRISIS TEAM – PART‑TIME TEAM ADMINISTRATORThis is an exciting and varied opportunity to join our Cheltenham Crisis Team at Charlton Lane Hospital as a Part‑Time Team Administrator.

The post holder must possess a competent working knowledge of all Microsoft Office packages.
The role will include taking minutes at the team meeting, processing referrals and completing administration tasks for the Team Manager and Clinicians. On occasion, you will type up letters for the Crisis Consultant and make appointments for them and the Team. You will also be asked to support some auditing and monitoring tasks for Team compliance.
You will complete administration tasks on RiO, our patient computer system, as well as using other systems such as E‑Roster, ESR and Centros Integra – training will be offered.
You will also handle calls coming into the Crisis Team and take appropriate messages to relay to the Clinical Team and Consultant.

RESPONSIBILITIES- Take minutes at team meetings and process referrals.
- Complete administrative tasks for the Team Manager and Clinicians.
- Type letters for the Crisis Consultant and arrange appointments.
- Support auditing and monitoring tasks for Team compliance.
- Execute tasks on RiO, E‑Roster, ESR and Centros Integra.
- Handle incoming calls and take appropriate messages.
- Maintain office systems – ordering stationery, petty cash, invoicing, fax/photocopier control.
- Provide full and comprehensive administration secretarial service.
- Prioritise workload using own initiative to meet deadlines and propose efficient working practices.
- Produce accurate copy, audio‑typing of correspondence, reports, presentations and spreadsheets.
- Handle all correspondence, opening, redirecting, distribution and drafting replies.
- In the Manager’s absence, open, action, and respond to emails and other correspondence.
- Manage day‑to‑day diary, arranging and coordinating meetings and resolving conflicting diary appointments.
