Seeking an experienced Medical Secretary to provide administrative and secretarial support within CAMHS. Responsibilities include managing clinical correspondence, coordinating appointments and diaries, maintaining patient records, and acting as a key contact for children, young people, families, and partner agencies.
Based across both Evergreen House (Cheltenham) and Acorn House (Gloucester), this fast‑paced role requires strong secretarial experience, medical terminology knowledge, word processing, and digital/audio typing skills.
The ideal candidate will be organised, adaptable, self‑motivated, and a strong team player with excellent communication, prioritisation, and problem‑solving skills. They will manage workloads efficiently and work confidently in a busy healthcare environment.
Main duties of the jobThe role is responsible for providing comprehensive medical secretarial support to CAMHS clinicians, ensuring efficient management of patient administration, correspondence, appointments, and communication across the service.
- Provide secretarial and administrative support to CAMHS clinicians and consultants.
- Type and distribute clinical letters, reports, and other correspondence.
- Manage diaries, appointments, clinics, and meetings.
- Maintain accurate patient records and update electronic systems.
- Act as a point of contact for patients, families, schools, GPs, and other professionals.
- Ensure deadlines are met and adequate secretarial cover is provided.
- Project the professional image of the business by demonstrating excellent customer care in all activities.
- First point of contact for the Consultant and their Medical Team; manage enquiries from patients, carers and professionals; provide non‑clinical help and advice.
- Respond sensitively to patients, showing empathy and recognising distress or upset.
- Plan and organise clinics to meet fluctuations in capacity and demand; involve patients being seen in the community.
- Adopt a flexible approach to ensure all Consultant objectives are completed efficiently within timescales.
- Coordinate provision of meetings to support multi‑agency working.
- Ensure all documentation/records are available in advance of clinics as required.
This role is not eligible for sponsorship as per the Government’s UK VISA and Immigration Rules and Regulations.
Person specificationQualifications:
- GCSE level grade C education or equivalent; good literacy and numeracy skills.
- NVQ Level 3 in administration or equivalent.
Experience:
- Previous medical secretary/hospital/NHS service experience.
- High‑level proficiency with Microsoft Office packages (Word, Excel, PowerPoint, Outlook).
