Position Summary

We are currently recruiting Full Time Booking Officer (37.5hrs) to join our extremely busy Haematology and Oncology Booking service based at Cheltenham General Hospital with requirement to work cross site as necessary. You will play a vital role in the booking and coordination of all new and routine appointments as well as complex chemotherapy and treatment appointments, ensuring the delivery of a smooth and efficient administration service to our patients.

This important role supports the Outpatient Services in Haematology and Oncology for Gloucestershire Hospitals NHS Foundation Trust. Our clinics are held in both Gloucestershire Royal and Cheltenham General hospitals with admin teams working across both sites.

  • Have previous experience of Trakcare and be confident in using other IT software systems.

Job responsibilities
  • Ensure and implement an efficient chemotherapy/treatment/routine booking service for patients and clinicians, meeting waiting time targets and clinical targets, and using all treatment chair capacity efficiently at all sites.
  • Monitor progress of referrals, identify problems and take appropriate actions to ensure efficient management of referrals.
  • Action clinic re‑scheduling to maintain clinical priorities and liaise directly with consultants and nursing team where capacity problems exist.
  • Manage block booking appointments to ensure clinical priorities are maintained.
  • Make judgements and decisions on flexing template capacity to balance clinical priorities and waiting time targets.
  • Ensure that patients receive a supportive and responsive service tailored to their specific needs, particularly where barriers to understanding exist.
  • Advise the management and nursing team on over‑ or under‑capacity issues and suggest ways of addressing these.
  • Work on both hospital sites as and when required to support the service line.
  • Ensure accurate and timely data collection.
Person Specification Qualifications
  • Educated to GCSE grade C or above (or equivalent) in literacy and numeracy.
  • Ability to use and interrogate computers, multiple screens, and IT systems.
  • NVQ in Administration level 3 or equivalent.
Experience
  • Previous administration or booking office experience (or demonstrable equivalent).
Skills
  • Flexible team worker, motivated by patient care.
  • Proven organisational skills and ability to prioritise workload and work to deadlines.
  • Confidence to make and receive phone calls on a daily basis.
  • Ability to concentrate, multitask and interrogate multiple systems.
