Role Overview
The  PMO Coordinator (IT)  supports the delivery and governance of IT projects and programs by ensuring consistent application of PMO standards, accurate reporting, and effective coordination across multiple initiatives. The role is critical in maintaining high-quality data within PMO tools, supporting governance processes, and providing clear visibility of project and portfolio performance through dashboards and reports.

Key Responsibilities

PMO & IT Project Support
Support the Program Manager in the day-to-day operation of the PMO
Provide coordination and administrative support to project and program managers
Maintain project process documentation, templates, and standards in line with PMO governance
Verify project artefacts (charters, plans, RAID logs, resourcing) are complete and up to date through project audits
Planning, Tracking & Reporting
Track IT project progress, milestones, risks, issues, dependencies, and deliverables
Produce monthly and quarterly IT portfolio reports including status, financials, resourcing, and benefits
Maintain accurate RAIDD logs and action trackers across IT initiatives
Support demand, intake, and prioritisation processes for IT work
Tools, Data & Dashboards
Maintain and administer PMO data within  Service Now and PowerBI  (e.g. demand, projects, tasks, resource and status data)
Ensure data quality, accuracy, and consistency within Service Now and related PMO tools
Translate PMO and IT data into meaningful visualisations and management information
Governance & Assurance
Support IT governance forums (e.g. Program Boards, Portfolio Reviews, Steer Cos)
Prepare governance packs, reports, minutes, and action logs
Ensure IT projects comply with agreed delivery methodologies (Agile, Waterfall, Hybrid)
Assist with quality assurance checks and project health assessments
Stakeholder Engagement
Act as a central PMO point of contact for IT project data, reporting, and governance queries
Work closely with IT, delivery teams, finance, and resource managers
Support clear communication of IT project status, risks, and key decisions

Skills & Experience
Essential
Proven experience in a  PMO Coordinator, Project Coordinator, or PMO Support role within an IT environment
Strong written and verbal communication skills
Hands-on experience using Service Now  for project, demand, or portfolio management
Excellent data management, reporting, and analytical skills
Strong attention to detail and ability to manage multiple priorities
Confident user of Microsoft Office, particularly Excel and Power Point
Experience working with additional tools such as MS Project, Planner, or Share Point
Desirable
Experience supporting IT delivery frameworks (Agile, SAFe, PRINCE2, Waterfall)
Experience creating and maintaining Power BI dashboards and reports
Understanding of IT financial tracking, forecasting, and resource management
