Role Purpose – Assist the Luxury Travel Specialists in providing our clients with the perfect holiday experience. Demonstrating outstanding Client Service pursuing highly developed communication and administrative skills.
Operational – Key TasksCommunication & Administration
- Ensure all supplier confirmations are received; obtain proforma invoices where possible
- Book land components (e.g. transfers) to support sales
- Issue and manage all APIS forms; ensure details are accurately stored in the system
- Publish and send ATOL certificates to all clients
- Monitor and manage supplier responses from arrival lists
- Action all flight schedule changes in line with the revised process, including:
- Manual updates in Travelink
- Notifying clients and suppliers where required
- Manage booking amendments and cancellations
- Ensure all hotel, transfer, and rep special requests are confirmed; chase suppliers if outstanding
Support Sales with amendments/cancellations by updating land arrangements - Issue updated documentation following changes, including:
- Invoices
- APIS
- ATOL certificates
- Booking confirmations
- Concierge documents
- Flight updates
- Ensure bookings are fully updated with:
- Additional information in GAL
- Supplier pre-payments
- Client payment due dates
Operational
- Ensure all system data is entered accurately and consistently across Travelink, Travelcomms, and Hub Spot
- Check all bookings and confirmations for accuracy and completeness before passing to Quality Assurance
Profit Protection
- Flag any discrepancies to Luxury Travel Specialists and Quality Assurance
- Ensure all costs are entered accurately
Essential:
- Highly developed grammatical, language and numerate skills
- Good working knowledge of Microsoft, especially Word and Outlook
- Intermediate booking and processing skills
- Knowledge of GDS preferably Galileo
