Imaging Booking Clerk/Receptionist

  • Receive and process all imaging referrals efficiently and timely whilst helping to maintain National and Local standards.
  • Maintain a good understanding of the Radiology Information System to create and locate patient imaging records to support patient care.
  • Register patients on to the Careflow system if no record can be found on the RIS system prior to booking appointments.
  • Ensure all appointments are booked on the Radiology Information System (RIS) in accordance with the Standard Operating Procedures of the 18‑week RTT pathway for each modality.
  • Be aware of patients' needs when booking appointments and make any necessary adjustments to appointment times, travel arrangements, and, if required, use the Interpreting Service.
  • Provide a telephone service with a professional, courteous telephone manner; answer queries, receive and relay messages, both in person and on the phone, from patients or hospital staff using a working knowledge of hospital procedures to maintain a high level of service.
  • Use multiple systems (Careflow, Radiology System, Summary Care Record, System One, Swiftque) to register patients.
  • Manage electronic orders on the Radiology System, checking data thoroughly before sending for processing.
  • Provide an efficient and high‑quality service in the busy call centre.
  • Ensure emails are actioned and responded to in a prompt and timely manner.
  • Receive and process paper referrals efficiently while maintaining National and Local Standards.
  • Communicate at a high standard of written communication over email correspondence on a regular basis.
  • Input and update the Radiology Information System, ensuring accurate patient computer records are maintained whilst achieving a high standard of data quality.
  • Carry out general clerical duties including filing, photocopying, and opening and processing post.
  • Work effectively in a team, supporting others and maintaining good working relationships.
  • Keep up to date with organisational changes to provide a responsive and efficient service.
  • Carry out any other duties that may be delegated by the Coordinators and the Appointments Supervisor.
  • Always maintain strict confidentiality relating to staff, patients, and the Trusts operations.
  • Be adaptable to work with the team when booking appointments.
About the Department

This role is part of a friendly, dynamic department situated within the Imaging Department at Chesterfield Royal Hospital and Walton Hospital. The department enjoys a supportive environment with facilities such as an outdoor gym for staff and visitors.

Qualifications
  • Educated to GCSE standard (or equivalent) GCSE Level 9–4.
Experience
  • Experience delivering Public/Customer Service.
  • Experience using Microsoft Office packages (Word, Excel, Outlook).
  • Experience working in a busy call‑centre environment.
  • Previous experience in a hospital or other healthcare environment.
  • Previous receptionist experience.
Skills and Knowledge
  • Ability to prioritise workload.
  • Excellent communication skills and the ability to work under pressure.
  • Customer care skills.
  • Good telephone manner.
  • Excellent attention to detail and accurate data input.
  • Working knowledge of RIS.
  • Working knowledge of Careflow.
