Monday to Friday 37.5 hours per week

Role Overview and Purpose

ABM, one of the UK's leading facilities services providers, is seeking an organized and proactive Fleet Administrator to join our Fleet team. Reporting to the Fleet Manager, you will play a key role in the day‑to‑day administration of ABM's vehicle fleet, supporting drivers, managers, suppliers and external partners to ensure the fleet operates efficiently, compliantly and cost‑effectively.

Responsibilities
  • Maintain accurate vehicle, driver and allocation records across fleet management systems.
  • Ensure all fleet databases, trackers and spreadsheets are updated and accurate at all times.
  • Monitor fuel card usage and fleet inbox.
  • Administer driver licence checking systems and compliance requirements.
  • Manage congestion charge, toll, parking and fleet accounts.
  • Process PCNs and notices of intended prosecution.
  • Monitor mileage records and produce fleet reports.
  • Support telematics and vehicle tracking systems.
  • Arrange vehicle collections, deliveries and transfers.
  • Coordinate short‑term hires and replacement vehicles.
  • Liaise with fleet management providers and suppliers.
  • Support vehicle insurance claims and accident management processes.
  • Raise purchase orders and process goods receipt notes.
  • Support FORS accreditation and fleet compliance activities.
Required Skills and Experience
  • Previous experience in a fleet administration role.
  • Knowledge of commercial vehicles and fleet operations.
  • Excellent organisational and communication skills.
  • Strong attention to detail and ability to manage deadlines.
  • Proficient in Microsoft Office, particularly Excel.
  • Experience with fleet management systems.
Desirable Skills
  • FORS Practitioner qualification.
  • Knowledge of FORS requirements.
  • Experience supporting insurance claims and accident management.
