This role plays a vital part in ensuring the smooth operation of our financial processes, particularly in managing State and Federal accounting as well as timely payments to our vendors and clients. ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function that may be performed at the job level.
Prepares Payment Documents and Agency-Specific Processing- Prepare necessary payment documents following appropriate accounting policies.
- Handle a variety of agency-specific processing in WOLFS (Wyoming Online Financials System), including accounts payable documents, receipts, replacement warrants, ACH and NSF documents, and P-card payments while ensuring adherence to budgetary guidelines.
- Maintain and enter Vendor Management Forms into WOLFS.
- Update and maintain the Vendor Management tracking sheet, ensuring accuracy and timely updates.
- Notify staff when vendors become active with the State of Wyoming.
- Ensure compliance with statutory, procurement, agency, and accounting policies for all program purchases.
- Resolve issues and answer questions from coworkers regarding policies and processes with professionalism and good judgment.
- Ensure proper internal control of units by researching, analyzing data, and identifying when corrective actions are needed in WOLFS.
- Assist the Fiscal Manager with various special projects, including research, data compilation, and analysis as required.
