We’re seeking a Project Administrator with a background in commercial and/or residential construction who’s ready to grow with a community driven general contractor. With a collaborative team, diverse project opportunities, and strong mentorship, you’ll help deliver quality projects and a great client experience across the Fraser Valley.
As a Project Administrator, you’ll be responsible for processing purchase orders, change orders, tracking RFIs (Request for Information) and SIs (Site Instructions), preparing reports, processing invoices, and facilitating communication across the project team. You will liaise with the project manager, subcontractors, and suppliers to ensure projects are completed on time, within budget, and according to the specified quality standards.
We’re hiring for a full‑time, temporary role based in Chilliwack, BC, expected to run for approximately 12 months with the potential for extension!
YourKey Responsibilities
- Assist the Estimator and Project Manager as needed, reducing their time spent on task work.
- Support project start‑up by entering contracts and budgets into accounting, project management, safety, and time tracking software, and handling WorkSafeBC notices and BC One Call submissions.
- Create and monitor purchase orders and subcontracts.
- Process and manage RFIs, SIs, and change orders.
- Oversee shop drawings and submittals.
- Attend project meetings, take minutes, and distribute action items.
- Code and approve accounts payable invoices, identifying and resolving issues as they arise.
- Support accounts receivable invoicing and review.
- Maintain accuracy and efficiency of project data across multiple software platforms.
- Monitor vendor compliance.
- Track project deficiencies to resolution.
- Manage job close‑out activities including manuals, as‑built drawings, subcontract reconciliations, and warranties.
- Perform other related tasks as assigned by management.
Qualifications & Skills
- Proven experience in an administrative role.
- Proficient with MS Office;
Bluebeam (or Adobe) preferred.
- Familiarity with PM software;
Viewpoint/Vista and Procore are assets.
- Strong problem‑solving skills; able to make sound decisions under pressure.
- Highly organized with strong attention to detail.
- Able to prioritize and multitask in a fast‑paced environment.
- Excellent verbal and written communication skills.
- Works well independently and as part of a team.
- Demonstrated ability to learn new tasks quickly.
- Strong mathematical and analytical skills.
- Maintains professionalism, accuracy, and confidentiality.
- Knowledge of construction processes.
- Valid driver’s license and clean abstract.
