Job Description- Full diary management and arrangement and coordination of meetings including 1:1s, Direct Report meetings, offsite and other management meetings.
- Email screening and handling on behalf of the MD.
- Follow up for timely responses to requests.
- Meeting support – agenda preparation, slide preparation, minute taking, meeting follow up (HODs Meeting, HOMA Meeting, Medical TA Reviews).
- Managing travel and accommodation arrangements and providing Director with full itineraries.
- Assistance with onboarding of new Heads of Medical and other team members.
- Conference and course registrations.
- Financial administration/support.
- Support Medical Heads / MD Direct Reports where necessary.
- Ensure UK ALT/WEC deadlines and WEC Monthly Highlights are met.
- Prepare and submit WEC Monthly Highlights via Survey Monkey.
- Compile and send Affiliate Monthly Highlights to GM’s Assistant.
- Liaise with WEC Assistant, Ops Team and UK Affiliate Assistants.
- Organize Medical Events (Medical Offsite Annual Meeting, Bi-Monthly Medical Townhall Events, Medical Day at Brand Workshops/January Conference).
- Onboard new Heads of Medical and other team members – induction meetings, equipment, processes, drive access.
- Prepare and collate Veeva/Foresight monthly dashboards.
- Support MLOR – set up meetings, chase documentation.
- Maintain Organisation Charts and Divisional Signature Log.
- Email distribution list maintenance.
- Assist with WEC visits and logistics.
- Support One R&D and maintain MSL Site Tracker.
- Coordinate BCP Test Day and maintain Third Party Contact Spreadsheet.
- Support Medical Affairs HCV/SPD and Dermatology teams (ad boards, venues, sponsor ships, payments, PO administration).
- Support PV and MIMR Teams and Finance support.
- Co‑ordinate with other Medical Admins to improve efficiency.
- Undertake ad hoc projects as required.
- Maintain general administration as appropriate.
• Experience in administrative support to senior medical leadership.
Accountability- Liaise with other Assistants/Administrators to share best practice and provide cover within Medical Division.
- Use company administration systems and processes in line with policies and guidelines.
- Liaise with Administrators within and between Divisional Teams and other divisions.
- Comply with company policies and procedures, statutory, quality and business requirements.
- Maintain health, safety and environmental performance in line with EHS programs.
