Job Description

We are seeking a proactive and professional Administrative Assistant to provide essential support to our dynamic organization. This role focuses on delivering efficient administrative services in a fast‑paced environment, with a primary emphasis on managing high‑volume incoming calls. It will also involve handling and processing non‑routine correspondence, assembling highly confidential information, and interfacing enthusiastically and competently with internal staff and external callers.

Functions
  • Graciously represent the company’s vision as the first point of contact for clients and staff
  • Ensure the front office area is properly staffed and maintained for clients, vendors, and visitors
  • Oversee work and break areas for appearance, cleanliness, and supply inventory
  • Design and craft general correspondence, memos, spreadsheets, and other files as needed
  • Assist with publishing, reviewing, and maintaining the accuracy of the company‑wide directory regularly
  • Professionally and efficiently route incoming calls from the main reception line, taking messages as appropriate
  • Appropriately de‑escalate volatile client calls with satisfaction and resolution as the top priorities
  • Regularly monitor the company email box and distribute and archive emails appropriately
  • Sort and distribute mail, print and mail documentation to clients, scan and distribute client STRs
  • Proofread, process, and package claims and other client correspondence to mail to the VA
  • Handle confidential information appropriately and discreetly
  • Process the administrative services department’s finances, which includes onsite client payments, PO requests, and staff travel accommodations
  • Provide client services at the front desk, including client walk‑ins and coordinating onsite provider days
  • Assist with the organization of company activities such as meetings, conferences, and department events
  • Support the department manager to resolve property management issues or complaints
  • Purchase office and medical supplies to support staff, onsite contractors, and providers
  • Complete any additional duties accurately as assigned by the direct supervisor in the requisite timeframe

  • Microsoft Office proficiency

Position Type

This is a full‑time, in‑office position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m. Schedules must be approved by the Regional Operations Manager.
