Front Office Assistant

W2 Contract - 12 weeks (Part-Time)

Location:

Cincinnati, OH

Schedule:

M - F, 10am to 3pm (25 hours / week)

Pay Rate: $19 / hour

Position Overview

The Front Office Assistant provides essential operational and administrative support to the branch, ensuring smooth daily workflow, exceptional customer service, and efficient coordination of events, meetings, and advisor needs. This role supports the Operations Leader, branch advisors, and overall business functions through organized, timely, and detail-oriented execution of tasks.

Key Responsibilities
  • Manage front desk operations, including phone coverage, visitor support, incoming/outgoing mail, and maintenance of the check log.
  • Order office supplies, stationery, licensing materials, and process expense reports as needed.
  • Provide administrative assistance to advisors, completing basic tasks and ad hoc requests to support their daily operations.
  • Assist the Operations Leader with branch event planning and execution, including logistics, scheduling, and vendor coordination.
  • Contribute to OAR (Operational and Administrative Readiness) projects and initiatives to improve branch efficiency.
  • Coordinate branch meetings: confirm wholesaler attendance, order lunch, track attendance, and assist with meeting setup.
  • Manage general mail handling procedures to ensure timely and accurate distribution.
  • Support advertising processes and compliance submissions as required.
  • Send invitations and manage registration logistics for regional webinars on behalf of the branch.
