POSITION TITLE: Caregiver Assistance Network Program Assistant

DEPARTMENT: Senior & Caregiver Support Services

REPORTS TO: Supervisor, Senior and Caregiver Support Services

WORK HOURS: 20

FLSA STATUS: Non-Exempt

WORK LOCATION: Mid-Point Tower, 7162 Reading Road Cincinnati, OH

Position Summary:

Supports the Caregiver Assistant Network (CAN) by managing daily operations and client services. Key responsibilities include answering Care line calls, conducting client intake, and providing case management within program guidelines. This role handles data entry in Microsoft Forms, Salesforce, and Well Sky, prepares reports, tracks volunteer hours, and assists with newsletters, calendars, and compliance audits. Additional duties include supporting caregiver classes, events, and volunteer trainings.

Requires strong communication, organizational skills, knowledge of older adult and caregiver needs, and ability to travel within designated Ohio counties.

Essential Job Functions:
  • Answer careline phone calls and perform phone intake with new clients.
  • Provides client case management and support for clients served by the program by providing resources within their job scope.
  • Assist with program data management by conducting assessments and entering client information into Microsoft Forms, Salesforce and Wellsky systems.
  • Completes CCSWO and funder reports as required.
  • Track and enter volunteer hours into Volunteer Hub monthly.
  • Assist with the monthly newsletter content and mailing
  • Conduct file audits to ensure compliance with funder requirements.
  • Keep the program calendar updated.
  • Prepare for Powerful Tools for Caregiver classes, Creative Connections, special events and volunteer trainings: copying material, ordering materials, making sign in sheets, name tags, evaluation forms and tracking attendance.
  • Communicate meeting or appointment reminders to clients via email and/or phone call.
  • With direction from supervisor, update existing SOPs.
Skills & Qualification Requirements:

Required:

  • Possess patience, good discernment, and discretion;
  • An interest in creating relationships with new people and helping them to connect with services/resources in the community;
  • Extensive knowledge of older adults and of family caregiver responsibilities, stressors, issues and needs;
  • Ability to work effectively with family caregivers from varied socioeconomic and cultural backgrounds;
  • Ability to communicate effectively in oral and written forms
  • Ability to present information clearly and concisely when appropriate;
  • Flexibility, organizational and time management skills for independent daily management;
  • Possesses the ability to travel within the following Ohio Counties:
    Hamilton, Butler, Clermont, Warren, Clinton.
  • A minimum of 2 years of experience working with older adults
  • High School Diploma/GED.

Preferred:

  • Experience working with family caregivers or in a care setting,
  • Experience using Salesforce
  • Bilingual in Spanish or other language
  • Associates or Bachelor’s degree strongly preferred.
  • Training in working with older adults preferred.
  • Volunteer management experience a plus
