The Cincinnati Programs Coordinator is a critical role dedicated to maintaining the highest service standards for Live N Learn programs and serving as the Local Coordinator for inbound summer programs. The role involves recruiting, interviewing, supporting host families, and coordinating activities for international students in the Cincinnati Metro Area. Requirements include strong organizational and communication abilities, exceptional sales and people skills, and the ability to ensure a positive, supportive environment for families and students.

Key Responsibilities
  • Host Family Recruitment and Matching
    • Recruit and interview host families, verifying they meet safety, compatibility, and environmental standards.
    • Complete host family vetting, including background checks, reference checks, and database management.
    • Interview and match international students with host families based on compatibility, age, and gender, and submit final matches by required deadlines.
  • Community Outreach and Partnership Development
    • Develop and maintain relationships with local schools, language departments, PTOs, and community organizations to support host family recruitment and program promotion.
    • Conduct classroom presentations and participate in recruitment events to generate host family leads and promote cultural exchange.
    • Coordinate and conduct site visits for government representatives and international partners, and collaborate with government agencies and educational institutions.
  • Program Management and Communication
    • Act as the main point of contact for the Live N Learn July and August program in Cincinnati, providing day‑to‑day support before, during, and after programs.
    • Share regular updates and progress reports with stakeholders and ensure consistent communication.
    • Support orientation sessions for host families and students by preparing and delivering presentations on program expectations, schedules, and resources.
  • Activity Coordination and Program Support
    • Organize and facilitate program activities and excursions for participants, coordinating logistics, bookings, and communications.
    • Manage participant arrivals and departures, maintain regular contact with the International Group Leader, and provide on‑ground support during program events.
    • Track program expenses, manage a set budget, and document all activities and interactions with host families and students.
  • Data Management and Reporting
    • Document and track all program milestones, ensuring timely completion for milestone‑based compensation.
    • Maintain accurate data in the CRM and other systems, including host family and participant records.
    • Launch and analyze surveys to assess participant satisfaction and identify areas for improvement.
  • International Partner Coordination
    • Communicate with international partners regarding approval status, documentation, travel itineraries, and issues that arise during the program.
    • Maintain open communication to ensure the best experience for all participants and host families.
Qualifications and Skills
  • Proven experience in program management, recruitment, sales, or community engagement.
  • Strong communication and interpersonal skills with the ability to build relationships with diverse stakeholders.
  • Comfortable with sales-focused tasks, including outbound calls, group presentations, and active recruitment.
  • High proficiency with technology tools, including Google Suite, CRM software, and virtual meeting platforms.
  • Excellent organizational skills with attention to detail and the ability to manage multiple tasks independently.
  • Based in the Cincinnati area, with flexibility to attend meetings, presentations, and program events, including occasional evenings and weekends.
