About the Role

We are looking for a highly organised and proactive Transport Coordinator / Transport Planner to join the team.

This is a key operational and administrative role supporting the transport planning team, drivers and wider business to ensure jobs run smoothly, on time and to budget.

The role combines transport coordination, driver liaison, fleet compliance administration, ferry bookings, fuel card management and customs/import-export paperwork. It would suit someone who enjoys variety, works well under pressure and can stay calm and organised in a fast-moving environment where plans can change at short notice.

The successful candidate will play an important part in keeping drivers supported, vehicles compliant and information flowing clearly between the planning, office, workshop and management teams.

Key Responsibilities

As Transport Coordinator / Transport Planner, your responsibilities will include:

* Coordinating transport activity for UK and European movements, supporting the planning team to ensure jobs run smoothly, on time and to budget.

* Acting as a key point of contact for drivers, assisting with general queries while they are on the road or at base.

* Supporting drivers with tachograph downloads from tractor units and overseeing driver card downloads.

* Ensuring tachograph data is uploaded accurately and promptly onto the relevant compliance system.

* Monitoring tachograph information daily, identifying infringements and keeping Transport Managers informed.

* Issuing less serious infringement notices once approved by the relevant Transport Manager.

* Supporting driver and fleet compliance in line with UK and European transport regulations.

* Managing fuel card administration, including issuing valid cards, arranging replacements and ensuring old cards are destroyed securely.

* Keeping valid fuel cards and PIN information secure, with access shared only in line with company procedure.

* Maintaining truck and trailer folders, ensuring vehicle paperwork is current and ready for vehicles to be dispatched at short notice.

* Booking ferries for the planning team and helping oversee ferry accounts.

* Preparing import and export paperwork for UK and European transport movements, including GMR, PBN, T1 and related documentation.

* Communicating clearly and promptly with colleagues to support the smooth running of daily operations.

* Sharing information in a timely manner with colleagues whose work may be affected by transport changes or operational updates.

* Supporting changes to transport plans in a fast-moving and unpredictable working environment.

* Building strong working relationships with drivers, clients, office staff, workshop teams and wider colleagues.

Skills and Experience Required

The successful candidate will have:

* Previous experience in transport, logistics, fleet administration, transport planning or operations coordination.

* Strong time management and workload management skills.

* Excellent organisational skills and strong attention to detail.

* Clear written and verbal communication skills.

* Confidence communicating with drivers, office teams, workshop staff, managers and clients.

* A calm, adaptable and practical approach in a fast-moving environment.

* The ability to prioritise tasks and complete work to a high standard.
