The Site Manager handles daily operations, administrative support, patient satisfaction, purchasing, and facility management for the Care Center. The manager supervises the administrative team, leads cross‑department collaboration, and fosters a culture of teamwork and high quality patient care.
Responsibilities- Oversee and mentor the administrative support team (Guest Ambassadors, Surgical Coordinators, Medical Receptionists) to ensure excellent patient care and visitor experience.
- Manage patient flow, address inquiries and concerns, and proactively resolve facility issues.
- Facilitate communication and problem‑solving between clinical and clerical teams.
- Manage daily schedules, team coverage, and overtime; conduct daily huddles and ensure completion of pre‑visit planning.
- Monitor and resolve issues related to charge and claim work queues, referrals, and patient work queues.
- Provide training and coverage as needed.
- Process payroll, invoices, and vendor relationships (e.g., Ciox, Med‑Flex, Linen).
- Conduct regular site walk‑throughs and address team member and provider concerns.
- Facilitate bank deposits.
- Monitor patient satisfaction scores and develop and implement plans to address gaps.
- Disseminate updates and important information to the team to ensure strong communication.
- Manage supply ordering and ensure adequate stock levels.
- Conduct regular one‑on‑one meetings with team members; participate in leader meetings, HR sessions, and professional development opportunities.
- Serve as site leader and liaison for all departments, responsible for site concerns, issues, and improvements; ensure cleanliness and safety of site and surrounding areas daily.
- Responsible for daily, weekly, monthly worksheets, including: recognizing and addressing team performance; ensuring weekly payroll while monitoring overtime and PTO; conducting walk‑throughs from a patient perspective; facilitating bank deposits; coding, approving, and submitting invoices to AP; communicating updates on new initiatives; monitoring biowaste and linen for the site.
- Other duties and/or projects as assigned.
- Adhere to HMH Organizational competencies and standards of behavior.
- Associate's degree or higher in Business Management or related field, or equivalent years of experience.
- 3–5 years of health care office administrative experience.
- Minimum 2 years supervisory or management experience.
- Exceptional organizational abilities and strong interpersonal communication skills.
- Consistent professionalism in appearance and attitude.
- Proficient computer skills, including Microsoft Office and Google Suite platforms.
- Minimum 1 year of experience with EPIC.
