Under general direction, the Police Office Specialist performs administrative, office, clerical, and coordination work for the Police Department. Facilitates the success of the department through administrative support and assistance.
Essential Functions- Performs administrative tasks in the onboarding of new personnel and police staff; completes mandated Florida Department of Law Enforcement forms and gathers and verifies all information and ensures all personal data is received, filed, and rendered accurate.
- Maintains divisional and department personnel files in a confidential and secure location.
- Gathers, compiles, and organizes data regarding department activities; assists detectives and other administrators with various office tasks; manages job postings, and performs various other administrative duties.
- Processes injury claims and coordinates follow‑up medical treatment of injured personnel in coordination with Risk Management; assists in organizing daily staffing needs and coordinates successful scheduling; verifies appropriate signatures are on all submitted paperwork, processes and tracks annual employee evaluations, and monitors and ensures completion of evaluations for staff on probation.
- Monitors department contracts and tracks expiration dates; assists in renewal process for departmental contracts; performs various specialized and special projects ensuring organization and completion; develops strong relationships with and consistently communications with other city departments and outside vendors.
- Processes training and travel requests for the department; verifies per diem and travel costs and coordinates payment; processes local training requests for specialty training; coordinates training registrations and travel logistics for department personnel; coordinates internal trainings for all sworn officers.
- Reconciles payments, processes department expenditures, and procures checks and other forms of payments; handles cash and makes deposits; assists with various financial and accounting practices and supports various payroll processes.
- Reviews, collects, redacts, and disseminates training records for public records requests and updates logs and spreadsheets.
- Answers phones, responds to inquiries, opens and disburses mail, orders supplies, notarizes documents, manages personnel files, and performs extensive other administrative and clerical work to assist the public and other police personnel.
- Performs other duties as assigned.
A valid State driver's license is required.
Notary License within 6 months of hire date.
Employees selected for this position must meet FDLE guidelines in order to access sensitive and/or confidential information.
Applicants with arrest histories for felonies or serious misdemeanors may be denied access to this information and as such, will not meet the minimum qualifications for a position with the City of Clearwater.
Education and ExperienceHigh School Diploma, High School Equivalency Diploma, G.E.D. Certificate AND three (3) years of experience in a customer service, office assistant, or office support position; OR an equivalent combination of education, training, and experience may be considered.
