The Executive Administrative Strategist is a key advisor and liaison between agency leadership and staff and other stakeholders, ensuring smooth communication and efficient operations across the agency. This position increases the effectiveness of the Board of Directors, the General Manager, and the Executive Team in supporting agency staff, the member governments and our community partners and other stakeholders.

The Executive Administrative Strategist serves as a strategic partner to the General Manager and Executive Team, driving operational excellence and enabling leadership to focus on high-impact priorities. This role is pivotal in aligning executive workflows with agency objectives, streamlining governance processes, and enhancing cross-functional coordination. While reporting directly to the Chief of Staff/Chief Strategy Officer, the Executive Administrative Strategist’s main job responsibilities include direct support of the General Manager and Board of Directors.

Acting as a trusted advisor and liaison, the Executive Administrative Strategist position demands high emotional intelligence, sound judgment, and the ability to anticipate needs, manage complexity, and deliver results in a dynamic environment. The role requires excellent judgment, multitasking, and discretion in handling sensitive information, managing schedules, coordinating meetings, and supporting all executive and board efforts.

Strategic Responsibilities Executive Enablement & Leadership Support
  • Optimize executive time by managing calendars, coordinating high-level meetings, and prioritizing engagements with internal and external stakeholders.
  • Provide strategic support for decision-making by preparing briefing materials, synthesizing information, and tracking follow-ups.
  • Lead administrative policy development and ensure consistent application of agency standards across departments.
Board Governance & Compliance
  • Oversee Board and Executive Committee operations, including agenda development, meeting logistics, and compliance with Florida Sunshine Laws.
  • Serve as Board Clerk, managing contract execution, legal documentation, and official records.
  • Perform the recording of motions and votes during Board meetings.
  • Draft and finalize Board minutes and post-meeting reports, ensuring accountability and timely execution of action items.
Operational Excellence
  • Drive continuous improvement in administrative processes, including agenda workflows, document formatting, and brand consistency.
  • Manage agency-wide communications on administrative standards, tools, and templates.
  • Coordinate travel, logistics, and reimbursements for executive leadership with precision and cost-efficiency.
Stakeholder Engagement & Communication
  • Act as the primary liaison for Board members, consultants, and public inquiries, ensuring timely and professional responses.
  • Lead coordination of facility tours and public-facing engagements, reinforcing the agency’s reputation and accessibility.
  • Manage the agency’s feedback inbox, triaging issues and ensuring resolution through appropriate channels.
Cross-Functional Leadership
  • Represent the Executive Team on internal committees (e.g., wellness, safety, employee engagement), elevating staff initiatives and surfacing strategic insights.
  • Facilitate weekly executive staff meetings by preparing agendas, capturing decisions, and tracking progress on strategic initiatives.
Administrative Stewardship
  • Maintain high standards in office operations, including procurement, mail handling, and document management.
  • Execute special projects and recurring assignments with a focus on strategic alignment and measurable outcomes.
  • Uphold agency safety protocols and contribute to a culture of operational integrity.
Disaster Service Worker
