We are seeking a detail-oriented and motivated Project Management Office (PMO) Intern to help bridge the gap between complex operational knowledge and actionable documentation. In this role, you will work closely with cross-functional project teams to capture, standardize, and maintain critical process documentation. You will leverage cutting-edge AI tools to streamline knowledge management, ensuring that our internal operations are scalable, transparent, and easy to navigate.

Job Responsibilities
- Knowledge Capture & Documentation
- Coordinate with subject matter experts (SMEs) to schedule and conduct process walkthroughs and knowledge-capture sessions.
- Record and document key PMO and operational process demonstrations.
- Utilize AI tools to transform meeting transcripts and SME input into structured draft work instructions.
- Refine AI-generated content to ensure accuracy, logical flow, and clarity for end users.
- Develop standardized work instructions using established PMO templates and documentation standards.
- Integrate visual aids, such as screenshots, system examples, and templates, into documentation.
- PMO Support & Project Coordination
- Convert finalized work instructions into concise training presentations and learning materials to support team onboarding.
- Support Project Tracking:
Assist PMs in updating project schedules, risk logs, and action-item trackers to ensure data integrity. - Meeting Coordination:
Prepare agendas, facilitate project status meetings, and distribute minutes/action items to stakeholders. - Process Improvement:
Identify process gaps or conflicting information and collaborate with SMEs to resolve discrepancies. - Workflow Management:
Manage the review and approval workflow for draft documentation with process owners. - Reporting:
Assist in the creation of weekly or monthly project status reports for leadership visibility.
- Current enrollment in an undergraduate or graduate degree program (preferred fields: Business Administration, Communications, Technical Writing, or Operations Management).
- Demonstrated proficiency in Microsoft Office Suite (Word, PowerPoint, Excel).
- Strong verbal and written communication skills with an ability to synthesize complex information into clear, concise instructions.
- Detail-oriented mindset with the ability to manage documentation tracking and version control.
- Ability to work effectively in a collaborative, cross-functional environment.
- Eligibility Requirements:
Must have unrestricted authorization to work in the United States.
- You have a passion for process improvement and operational excellence.
- You are a self-starter who brings strong organizational skills and the ability to manage multiple documentation projects simultaneously.
- You have experience with AI-assisted writing tools, project management software (Smartsheet, MS Project), or content management systems (e.g., SharePoint, Confluence).
- You have an interest in Project Management Office (PMO) workflows and instructional design.
The pay range for this position is $920-$1200 USD weekly.

The pay for this position ranges from $21.00/hr - $36.00/hr based on years of undergraduate/graduate field of study completed.
This position is also eligible for- Relocation Assistance:
Co-op/Interns will be reimbursed for reasonable, proper, and documented expenditures incurred while initially reporting to work and returning to school/home upon completion of the assignment. Employees with a permanent address greater than 50 miles away from the work location are eligible. - Housing Allowance:
