Base Pay Range: $40,200.00/yr - $40,200.00/yr
Job Summary: Provides administrative and clerical support to the Dean of Business & Industry. Assists with daily operations, communication, scheduling, documentation, and coordination of instructional activities. Supports program processes, faculty needs, and divisional workflow to ensure efficient and organized operations aligned with institutional goals.
Responsibilities:
- Coordinate department operations, schedule appointments and meetings, answer phone calls.
- Typing correspondence, filing, maintaining records, copying materials, ordering supplies, creating purchase orders, distributing mail.
- Greet visitors, faculty, staff, and students; provide general information; direct individuals as needed.
- Manage requisition funds, maintain records, process bills for the Business & Industry pathway, liaise with Business Office for purchasing.
- Collaborate with internal and external partners to support institutional goals.
- Support Dean in community engagement, civic initiatives and special projects.
- Schedule and coordinate advisory committees, divisional meetings, and campus events.
- Maintain knowledge of institutional policies, procedures, and instructional processes.
- Use Hill College ERP system and standard office software (Word, Excel, Outlook, PowerPoint).
- Assist with programs and events hosted by Business & Industry Pathway, college, and student groups.
- Maintain inventory of departmental supplies and support budget tracking.
- Contribute to departmental objectives by suggesting improvements to operational procedures.
- Participate in continuous improvement initiatives to enhance administrative efficiency.
- Coordinate with faculty, staff, and academic leadership to support cohesive workflow across the division.
- Support team efforts, contribute to a positive workplace environment.
- Perform other duties as assigned.
Qualifications:
- High school diploma or equivalent; associate degree or higher preferred.
- Two to five (2‑5) years of clerical and administrative or customer service experience.
- Experience in academic support, program development, or applicable instructional areas preferred.
- Detail-oriented, self‑motivated, capable of setting priorities and meeting deadlines.
- Strong written and oral communication skills.
- Commitment to confidentiality and adherence to Hill College's values and Code of Conduct.
- Proficient in Microsoft Office Suite (Teams, Word, Excel, Outlook) and standard office equipment.
- Excellent customer service, organization, and time-management skills.

Other Information:
- Security-sensitive position.
- May serve on institutional committees as needed.
- Occasional travel between campuses required.
Physical Requirements:
Light work; exerting up to 25 pounds of force occasionally and/or a negligible amount of force constantly to lift, carry, push, pull or otherwise move objects, including the human body. Use of arm and/or leg controls requires exertion greater than sedentary work.
