This position provides high level administrative support to the Vice President, Legal. It also includes team facing responsibilities more broadly. The Executive Assistant Legal is responsible for administrative support and broad coordination for the VP of Legal and the Legal Team. This includes calendar management of multiple calendars, travel coordination, support with routine correspondence, invoicing and expense reports, meeting/event planning. The incumbent must be proficient with the Microsoft suite of programs, specifically Word, Excel and PowerPoint.

As this role will be supporting senior members at Enbridge and work closely with the Executive team, information is highly confidential and the workload is multifaceted and time sensitive.

What You Will Do:
  • Arrange executive travel (domestic and international) with detailed itineraries.
  • Manage calendars, travel arrangements, time entry, and expense report submission for assigned Vice President, who travels frequently.
  • Anticipate and initiate appropriate actions to conserve the leader's time, e.g., manage her schedule, manage access, screen and respond to routine and complex e-mails and correspondence.
  • Interact with the Executive Management Team (EMT), other executives and their assistants.
  • Form strong partnerships with multiple internal stakeholders to deliver/provide value-added support.
  • Coordinate bi-weekly legal reporting to the EVP & CLO on behalf of the entire legal team.
  • Coordinate complex company meetings, conferences, and functions.
  • Book meeting rooms, design team meeting agendas, and compile and post meeting materials in advance of scheduled meetings.
  • Coordinate with external vendors to receive, track, distribute, and process external invoices.
  • Maintain department meeting structure, distribution lists, group mailboxes, group calendars, etc.
  • General coordination of team events, department town halls, receptions, and celebrations.
  • Coordinate meetings with internal and external parties, including arranging any hospitality requirements.
  • Assisting Sr leaders with document and presentation material preparation (structure development and formatting).
  • Submit service/access requests for team via MyService system (i.e. on-boarding, off-boarding, new access/asset requirements, etc.)
  • Manage office moves and space allocation for assigned departments.
  • Order and maintain office supplies.
  • Other duties as assigned.
Who You Are:

Required:
  • Relevant education and a minimum of 5 years of experience in the administrative field; or an equivalent combination of education and experience.
  • Experience managing a busy travel schedule.
  • Proficient with Microsoft Office Suite, Microsoft Teams, and SharePoint.
  • Ability to deal with multiple projects at one time and bring them to successful conclusion within deadlines.
  • Ability to work independently and possess excellent time management skills.
  • High level of communication, both written and verbal, and able to communicate successfully at various levels of the organization.
  • Requires a high level of discretion, tact and diplomacy in dealing with internal and external contacts, and confidential or sensitive information.
  • Demonstrated success working with and providing effective support to multiple senior leaders.
Preferred:
  • Completion of an Office Administration or equivalent program
  • Knowledge of Workday and Team Connect

  • This position works in a fast-paced office environment on a team that is geographically dispersed.
  • Heavy workloads at times, requiring production of accurate work on a very short time line.
