DEFINITION
Under general supervision, perform a variety of municipal clerk and administrative support duties within the City Clerk's Office; respond to requests and inquiries; and perform related work as required.
CLASS CHARACTERISTICSUnder supervision perform support duties for the City Clerk's Office. The incumbent reports to and takes direction from the City Clerk or the City Clerk's designee. Incumbents receive thorough instructions when tasks are initially assigned and after training are expected to perform duties without constant supervision. Work is reviewed frequently upon completion and while in progress. Incumbents are expected to refer any variation in work to the supervisor for instruction.
Examplesof Duties
Assist the City Clerk's Office with current and new programs, services, and projects; assist with, and learn, the processes involved in preparing for, and supporting, City Council and City boards and commissions meetings; assist with elections, public records requests, records management, and other municipal clerk functions; research, compile, organize, and analyze information for projects and reports; learn and develop knowledge of applicable laws, regulations, ordinances, policies, and procedures;
provide administrative support; establish and maintain positive working relationships with coworkers, City employees, public officials, and members of the public; and perform related work as required.
LICENSE REQUIRED
- Possession of a valid California Driver's License and a good driving record.
EDUCATION Education:
- Business Administration, Public Administration, Political Science student or in a closely related field, with a 3.00 GPA minimum from an accredited college or university;
- Preferably a Junior or higher standing from an accredited college or university.
QUALIFICATIONS Knowledge of:
- Basic principles and practices of public administration and local government;
- Basic office administrative practices and procedures;
- English usage, grammar, spelling, and punctuation;
- Basic mathematical principles;
- Basic research, data collection, and recordkeeping methods;
- Modern office equipment, technology, and software applications, including Microsoft Word, PowerPoint, Excel, and Outlook; and
- Principles of professional communication and customer service.
Ability to:
- Read and understand local government laws, legislation, ordinances, regulations, policies, and procedures;
- Learn and apply established procedures under supervision;
- Communicate clearly and professionally, both orally and in writing;
- Understand and follow oral and written instructions;
- Perform work accurately with close attention to detail;
- Organize assignments, manage multiple priorities, and meet deadlines;
- Research, compile, organize, and present information;
- Maintain accurate records and files;
- Prepare and update correspondence, reports, presentations, spreadsheets, and other materials;
- Operate standard office equipment and use modern office software and technology;
- Exercise discretion and maintain the confidentiality of sensitive information;
- Establish and maintain effective working relationships with coworkers, City employees, public officials, and members of the public; and
- Provide courteous and professional customer service.
- Strength:
Light work-lifting, carrying, and/or pushing 25 pounds maximum with frequent lifting and/or carrying of objects weighing up to 25 pounds; - Work is primarily sedentary;
- Incumbent may be required to attend periodic evening meetings.
