We are looking for a dedicated and organized Regional Planning Administrator to join our regional planning team at Bardon, Leicester
. The successful candidate will be responsible for supporting the regional planning processes, ensuring the smooth coordination of planning activities, and providing administrative assistance to the team. This key role requires strong communication skills, attention to detail, and the ability to handle multiple tasks in a fast‑paced environment.

Who Are You- Customer service skills with ability to liaise and communicate with customers
- Strong background in administration or customer‑focused role
- Ability to work either as part of a team or independently, building strong rapport with clients and colleagues
- Excellent time‑management and organisational skills
- Good IT skills
- Strong organisational skills and ability to prioritise tasks
- Ability to work under pressure and handle multiple tasks simultaneously
- A proactive, can‑do attitude with the ability to work independently and as part of a team
As a Regional Planning Administrator, you will liaise with our customers directly, assisting with the planning of maintenance and repairs. Working closely with the Workshop team, you will provide them with relevant and accurate information, ensuring the customers’ expectations are always managed.
- Key customer contact and point of reference
- Work with workshop management to ensure workshop scheduling and loading maximise available capacity and utilisation
- Clarify the basis for the repair – Retail/Warranty/Contract – for the customer and the workshop
- Gain customer agreement through selling the benefits of identified repair solutions in a professional manner
- Produce and explain repair orders to customers during the planning stage
- Maintain customer contact information in workshop planner, CM and VDA
- Ensure all resources are available in advance of scheduled work (labour and parts)
- Manage bookings for courtesy cars, collection & plan and manage all truck monitoring cases with customer, dealer and RTM/SDM delivery and waiting. Ensure all active campaigns are allocated to the repair order
- Manage all contractual and non‑contractual vehicle alerts and liaise with customers or dealers accordingly
- Ensure that all proposed work is correctly specified based on standard IMPACT content and converted to GDS quotes
- Convert GDS quotes into repair orders and ensure authorised work is properly coded on the repair order prior to handover to the workshop
