The Administrative Assistant – Fuel Operations provides administrative and operational support for airport fueling and GSE fuel activities. This role supports fuel ticket processing, fuel reconciliation, payroll/timekeeping, administrative support for the GSE Manager and fuel operations leadership, and airport badging compliance.
- Enter, review, and verify Aircraft and GSE fuel tickets for accuracy
- Perform daily and monthly fuel reconciliations (aircraft and GSE)
- Research, track, and document fuel variances
- Support fuel and GSE fuel reporting and administrative tracking
- Provide direct administrative support to the GSE Manager
- Maintain GSE-related administrative records, logs, and documentation
- Update and correct employee time records in Kronos
- Track attendance issues, missed punches, and shift trades
- Assist with purchase requisitions, cost tracking, and administrative coding
- Ensure employee airport badging is maintained, tracked, and not expired
- Coordinate badging renewals, replacements, and required documentation
- Maintain organized administrative, payroll fuel, and compliance records
- Assist with new-hire paperwork and onboarding documentation
- Support managers, fuel operations staff, GSE personnel, customers, and suppliers
- Perform general office and administrative duties as assigned
- High school diploma or GED required
- 1–2 years of experience in administrative, payroll, accounting, fuel operations, GSE support, or airport badging preferred
- Proficient in Microsoft Excel, Word, and Outlook
- Strong attention to detail and accuracy
- Ability to handle confidential and sensitive information
- Strong written and verbal communication skills
- Must be at least 18 years of age
- High level of professionalism required due to regular correspondence with external customers, employees, airport authorities, vendors, and internal peers
- Ability to pass a drug screen and background check
- Ability to lift up to 35 lbs
