  • Ability to handle confidential information with professionalism
  • Experience with Microsoft Office Suite; ability to learn internal systems
  • Prior administrative or clerical experience preferred
Job Summary

This entry-level position supports personnel, employee data, and Medicaid documentation functions. Responsibilities include job postings, onboarding, employee file maintenance, internal reporting, workers’ compensation coordination, and general Medicaid support. The role plays a key part in maintaining timely and accurate data and assisting with employee relations and compliance tasks.

Essential Duties and Responsibilities
1. Job Postings & Applicant Support
  • Post and update job openings
  • Screen applications for minimum qualifications
  • Coordinate interview scheduling and communication with applicants
  • Draft offer and rejection letters as directed
2. Employee Onboarding & Offboarding
  • Prepare and maintain personnel files
  • Ensure completion of employment documentation
  • Track return of BOCES property during offboarding
3. Data Entry & Reporting
  • Enter and update employee data in spreadsheets or systems
  • Assist in compiling staff data for internal and state reporting (e.g., LAM-CDE)
  • Maintain accurate logs for required employment information
4. Workers’ Compensation Support
  • Submit and monitor workers’ compensation claims
  • Maintain documentation of incidents and correspondence
5. Employee Relations Support
  • Respond to routine staff questions regarding policies and procedures
  • Draft communications related to employee concerns or actions
  • Ensure confidentiality in all personnel matters
6. Website & Communication Updates
  • Update HR- and PD-related content on the BOCES website
  • Assist in distributing staff communications and training updates
7. Administrative & Meeting Support
  • Backup to Receptionist for answering BOCES phones and front desk duties, to include door coverage, when needed
  • Provide logistical support for meetings, trainings, and events
  • Prepare meeting packets, sign-in sheets, and certificates as needed
8. Medicaid Documentation Support
  • Monitor and support data entry and reporting related to Medicaid-billable services
  • Assist with maintaining compliance with Medicaid documentation requirements, including service tracking, attendance matching, and consent form organization
  • Provide general support to staff using electronic documentation systems and ensure accuracy of provider submissions
  • Help coordinate Medicaid-related communications and training as directed
9. Other Duties
  • Perform additional tasks as assigned by the Finance and HR Coordinator
Working Conditions
  • Frequent use of computers and standard office equipment
  • Requires sitting, walking, bending, and occasional lifting (up to 25 lbs)
  • Local travel to member districts may be required; mileage reimbursed per policy
  • Occasional non-standard hours to support events or deadlines
Evaluation

Evaluated annually by the Finance and HR Coordinator in accordance with Board policy.

Schedule & Compensation

This is a full-time, 12-month position. Salary and benefits are aligned with Level 3 of the Alternate Certified/Non-Certified Salary Schedule. Includes vacation, leave, and holidays per board policy.
