Scope

This Volunteer position will be responsible for providing coverage for front desk operations, including answering telephones, greeting and monitoring visitors & providing administrative support. This position is under the direct supervision of the Adult Day Services Director.

  • Manage multi-line phones in a busy office setting.
  • Maintain the front office to include greeting and signing in all visitors. Monitor visitors in the building.
  • Responsible for keeping the reception area visually appealing and neat.
  • Copying, Filing and Faxing documents.
  • Maintain office equipment, call in repair and maintenance requests to vendor.
  • Oversight of copier & fax usage.
  • Oversee the Adult Services office supplies. Track supply inventory, coordinate purchase of general office supplies.
  • Prepare correspondence, assist with arranging conference calls, scheduling conference room meetings.
  • Receive, open and distribute mail to the appropriate staff in a timely manner, the Secure Web Notifications of client’s referrals, service plans and units.
  • Attend and participate in all required training and meetings.
  • Maintain a professional appearance and appropriate boundaries at all times.
  • Keep an eye out for safety issues (spills, tripping hazards).
  • Notify staff if a client needs assistance.
  • Put up monthly client/staff calendar board.
  • Support the day program’s client check in/check out procedures.
  • Monitor, track completion and properly file facility forms (i.e. Safety, Closing, Code Blue, Drills, etc). Reliable, detail-oriented, and committed to supporting the mission, values, and daily operations of SKSF.
  • Assist at other SKSF locations as needed.
  • Related work as assigned.
Desired

Minimum Qualifications
  • High School Diploma, associate’s degree preferred.
  • Prefer a minimum of two years’ experience in an office setting.
  • Require experience with Microsoft office suite with emphasis on Excel.
  • Skilled in managing phone systems, scheduling, basic data entry, and providing general office support.
  • Experience with adult developmentally disabled population helpful.
  • A valid driver’s license & current vehicle insurance, and an acceptable driving record per SKSF standards.
