The United States Olympic & Paralympic Committee (USOPC) is a nonprofit organization and is one of the only National Olympic/Paralympic Committees in the world that does not receive government funding for its Olympic & Paralympic programs, instead relying on the generous support of a committed community of sponsors and donors. Increasing philanthropic support for U.S. athletes is one of the USOPC’s highest strategic priorities and hence, the organization has established the U.S. Olympic and Paralympic Foundation (USOPF) as the fundraising organization for the USOPC and is investing significant resources in its Development division.
This role serves as the glue that holds the Foundation together, ensuring smooth operations across multiple critical functions. From onboarding new team members and managing essential systems to keeping vendor payments on track, this position is central to maintaining efficiency within the division. Acting as a trusted resource, the role provides vital backup support to other administrative positions and plays a key part in fostering team culture by organizing events that bring fun and camaraderie to our staff.

- Manage travel and expense support for Development Leadership Team (including coordination and troubleshooting for systems like Concur).
- Process and track invoices, including those related to the Annual Fund, ensuring timely and accurate payment to vendors.
- Oversee supply orders and purchase requests for operations teams and occasional other departments, maintaining cost efficiency and compliance with procurement guidelines.
- Serve as a liaison between internal teams and finance to resolve payment or expense issues promptly.
- Lead onboarding for new hires, including systems orientation (Ultipro, SharePoint, Concur) and acting as the primary point of contact for hiring managers and staff during onboarding.
- Maintain and update USOPF SharePoint permissions, content, and Huddle Page to ensure accurate and accessible information for staff.
- Manage USOPF Outlook shared calendars and distribution lists to support team coordination and communication.
- Provide Annual Fund support through daily mail management (including handling return mail) and monitoring the 1-800 voicemail line for donor inquiries.
- Maintain staff information resources, including address manifests and the staff bio book, ensuring accuracy and confidentiality.
- Provide coverage for key roles during absences, including the Chief Development Officer’s office, regional administrative positions, and gift processing.
- Serve as a flexible resource for urgent administrative needs across departments, ensuring continuity of operations during peak periods or staffing gaps.
- Plan and execute HQ and Colorado Springs team gatherings, including logistics, scheduling, and vendor coordination.
- Manage event budgets, ensuring cost-effective planning while delivering high-quality experiences.
- Organize team-building activities and recognition initiatives, such as birthday kudos boards, to foster a positive and connected workplace culture.
