Project Coordinator – Commercial LandscapingPay: $32 - $35/hr DOE + Robust Benefits Package
Location: Broomfield, CO
Position Type: Direct Permanent Hire

- Maintain organized project files and trackers (scope, milestones, contacts, deliverables).
- Upload and manage site plans, exhibits, and specifications.
- Prepare kickoff materials and support administrative duties for Project Managers.
- Communicate with clients and vendors to collect project information.
- Track project start dates, milestones, inspections, and deadlines.
- Coordinate with Operations, Project Managers, Field Managers, vendors, and subcontractors.
- Assist with permit applications and inspection scheduling.
- Flag scheduling conflicts or risks and elevate them as needed.
- Maintain logs for RFPs, RFIs, submittals, approvals, and revisions.
- Ensure current plans and redlines are properly documented and distributed.
- Support municipal, regulatory, and client compliance requirements.
- Collect and track subcontractor documentation, including COIs and W-9s.
- Verify and upload final documentation for purchase orders and project closeout.
- Track change orders, T&M documentation, and field time logs.
- Verify invoices align with approved scopes; enter invoices into the AP system.
- Create material orders and purchase orders in Quick Books.
- Collect backup documentation, including photos and reports.
- Serve as point of contact for document requests and project questions.
- Distribute approved plans and updates to field teams.
- Collect daily/weekly field reports, quantities, and photos.
- Support issue resolution with vendors, clients, and internal teams.
- Fully bilingual in Spanish and English (written and verbal).
- 2+ years of administrative support or project coordination experience in construction or landscaping.
- Strong organizational and communication skills.
- Experience with job costing is strongly preferred.
- Familiarity with Adobe Acrobat for markups and redlines.
- Understanding of contract compliance, permits, and regulatory requirements.
