Overview
A privately held, founder-led organization is seeking a high-caliber Executive Operations Manager with strong operational instincts to support a senior executive overseeing multiple ventures across nonprofit, education, and commercial real estate.
This role is ideal for someone who thrives in a fast-paced, high-expectation environment and enjoys bringing structure, clarity, and follow-through to complex situations.
This is a full-time, in-office position (Monday–Friday, 9:00am–5:00pm).
Role OverviewThis Executive Operations Manager will serve as a trusted extension of the executive, managing information flow, logistics, and operational follow-through across multiple entities. This is not a traditional administrative role. It requires sound judgment, discretion, and the ability to anticipate needs in a dynamic environment.

- Tasks and commitments across multiple projects are tracked and completed

- Manage and prioritize a high-volume email inbox
- Draft correspondence and manage follow-ups
- Prepare briefing materials for meetings and calls
- Own calendar management and scheduling
- Coordinate meetings across internal and external stakeholders
- Manage all travel logistics and itineraries
- Maintain a master task and project tracker
- Track deadlines, deliverables, and action items
- Proactively follow up to ensure progress and completion
- Coordinate bill pay, document organization, and digital filing
- Route legal, financial, and operational documents appropriately
- Handle forms, contracts, waivers, and administrative paperwork
- Support multiple business lines with scheduling, coordination, and follow-through
- Serve as a point of contact between the executive and internal teams
- Maintain a consistent in-office presence Monday–Friday, 9–5
- Help uphold a professional, organized office environment
- Highly organized, proactive, and calm under pressure
- Strong judgment and discretion with confidential information
- Comfortable working in ambiguity and shifting priorities
- Excellent written and verbal communication skills
- Naturally anticipates needs and solves problems independently
- 3–7+ years supporting senior executives or founders
- Strong experience with calendars, email management, and travel coordination
- Proficiency with Google Workspace and Microsoft Office
- Ability to quickly learn tools such as task trackers, bill pay platforms, and CRM systems
